Catering community advisory group

Terms of reference

1. Purpose

The purpose of “Catering community advisory group” will be to provide feedback, advice and a sounding board for services and improvements in catering, to include patient, visitor and staff catering services to help ensure the Catering department demonstrates best practices and models the Trust commitment to staff and community involvement in developing and monitoring the service to create a best in class offering to all our users or stakeholders and to support improvements tothe quality of meals and theservice for inpatients.

2. Term

This Terms of Reference is effective from 1 August 2016 and will be on going until terminated, superseded or replaced by the Trust

3. Membership

The “Catering community advisory group” will comprise of:

·  The Trust Catering Manager will serve as the chairman of the group.

·  Patient services will be asked to appoint a representative to the group.

·  A Dietician or Dietetics representative will be asked to appoint a representative to the group.

·  Members of the local community identified by their participation in LIA events will be invited and encouraged to join the group.

·  Interested trust staff members, volunteers and stakeholders will be invited to join the group

4. Roles and Responsibilities

The advisory group is accountable for:

• Fostering collaboration with Trust LIA groups, teams, departments or committees and supporting the Trust’s catering department

• Identifying and help in removing obstacles to the Trust’s successful delivery, adoption and use of catering best practices as identified by NHS England, the Trust, professional catering bodies and other regulators

• Maintaining at all times the focus of the advisory group on the agreed scope, outcomes and benefits

• Identifying, reporting and monitoring any factors outside the advisory group’s control that is critical to its success.

The membership of the advisory group will commit to:

• Attending scheduled Advisory Group meetings

• Wholeheartedly champion the Advisory Group within the trust and community

• Share all communications and information across all Advisory Group members

• Make timely decisions and take action so as to not hold up any projects or services

• Notifying members of the Advisory Group, as soon as practical, if any matter arises this may be deemed to affect the Trust’s provision of catering services.

Members of the advisory group will expect:

• That each member will be provided with complete, accurate and meaningful information in a timely manner

• To be given reasonable time to make key decisions

• To be alerted to potential risks and issues that could impact Trust catering services, as they arise

• Open and honest discussions, without resort to any misleading assertions or personal references

5. Meetings

• All meetings will be chaired by the Trust catering manager

• A meeting quorum will be at least one member from the public, at least one member from the staff and the catering manager or a designated representative.

• Decisions made by consensus (i.e. members are satisfied with the decision even though it may not be their first choice). If not possible, advisory group chair makes final decision

• Meeting agendas, minutes and other information will be provided in a timely manner

• Meetings will be held monthly beginning on August 10 on the second Wednesday of the Month at 6pm in the Oasis Restaurant

• If required subgroup meetings will be arranged outside of these times at a time convenient to subgroup members.

6. Amendment, Modification or Variation

This Terms of Reference may be amended, varied or modified in writing after consultation and agreement by Advisory Group members.

*Note: It is expected that the first meeting will discuss the terms of reference and submit suggestions for any changes thought to be necessary in reaching the advisory groups goals.
