Much of the information sent from the council will be of a standard format, differing only in relatively small (but important) details such as a meeting venue, electoral ward, date, time etc.

These notes aim to help you undertake such changes and/or to interpret information sent in to the authority.

If in any doubt whatsoever, refer to the Welsh Translation Unit

If sending a standard form or letter to the Translation Unit, whether for translation or for proof-checking, including a copy of a previously produced Welsh version along with the required changes will help to speed the process.

If sending text for proof-check, send BOTH language versions to ensure that the translation is both correct and consistent with the English).

Mutations :

One of the beauties of the Welsh language is the system of mutations, whereby spellings of words (including place names) may change (particularly their initial letters) dependent on their context and position in the text – e.g.

Gowerton / Tregŵyr
Penlan / Penlan
Gowerton and Penlan / Tregŵyr a Phenlan
Penlan and Gowerton / Penlan a Thregŵyr
To Penlan / I Benlan
In Penlan / Ym Mhenlan
To Gowerton / I Dregŵyr
In Gowerton / Yn Nhregŵyr

NOTE: if using an English spell checker it may auto-correct words giving, for example, “Ironware” instead of “Ionawr” as a translation for “January”.

·  WEB PAGES – DISCLAIMERS

Welsh and English versions of information on the public web site should be added at the same time. Under specific circumstances, this may not be possible and the disclaimers below deal with these cases. Unless otherwise agreed, the “Welsh language” page should be a direct copy of the English version preceded by the relevant Welsh language version of the disclaimer - the English is shown to help you pick the phrase you need to use.
1. The Welsh content is being prepared but is not available when the English is added. This should generally be used in those cases where externally imposed deadlines require publication on or by a specific date.
We apologise that this information is not yet available in Welsh. It is currently being translated and will be available by dd.mm.yyyy / Ymddiheurwn nad yw’r wybodaeth hon ar gael eto yn Gymraeg. Mae’r wybodaeth yn cael ei chyfieithu ar hyn o bryd a bydd ar gael erbyn dd.mm.bbbb
2. Where some information is taken directly from an external feed which does not provide the information other than in English.
Some of the information on this page is provided by third parties and may not be available in Welsh.
We apologise for any inconvenience. / Darperir peth o’r wybodaeth ar y dudalen hon gan sefydliadau trydydd parti ac efallai na fydd ar gael yn Gymraeg. Ymddiheurwn am unrhyw anghyfleustra.
3. Where information is (in English only) from an external source prior to reformatting for display. If this process is regular and frequent, the amount of data and turnaround time may not allow for translation. If the display is available for any period of time, the #1 disclaimer should be used and translation undertaken.
Frequent updates taken from external agencies means that some information may not always be available in Welsh. We apologies for any inconvenience. / Ceir y newyddion diweddaraf gan asiantaethau allanol yn rheolaidd ac felly mae hyn yn golygu na fydd yr wybodaeth ar gael yn Gymraeg bob tro. Ymddiheurwn am unrhyw anghyfleustra.
4. This should be used where a number of links to external sites are provided, particularly where some of them are to Welsh language pages and others to English language pages. The name for the link (shown when under the cursor) should have both English and Welsh names.
Links to external sites are to Welsh language pages where possible. / Ceir dolenni i wefannau allanol sydd â thudalennau Cymraeg ble bynnag y bo’n bosib.
5.  Some documents may normally be published in English only. These would include some Committee and Council meeting agendas and notes – although sections of these would be bilingual where dealing with issues of specific interest to Welsh speakers. See appendix section A2.4.3 of our Welsh Language Scheme for further details.
This would normally be placed on a page listing documents - each of which would be English only. Individual documents do not require a disclaimer.
As agreed and detailed in the authority’s Welsh Language Scheme, these documents are usually available in English only.
For further information, please contact the Council’s Welsh Language Officer via / Fel a gytunwyd ac a nodwyd yng Nghynllun Iaith Gymraeg yr awdurdod, mae’r dogfennau hyn ar gael yn uniaith Saesneg fel arfer.

6.  Some documents contain information from English only external sources which is then given a specific Swansea slant. Given this and the potential audience for their content, these are published only in English.
Because of the nature of the content and their potential audience, some downloads from this page are available in English only / Oherwydd natur y cynnwys a’u cynulleidfa bosib, mae rhai ffeiliau i’w lawrlwytho o’r dudalen hon yn Saesneg yn unig.
NB: ALL WEB PAGES DISPLAY “LAST UPDATED” DATES
So if you are going to display any dates for arrival of Welsh language content, they should be not too far in the future, achievable and agreed – people WILL notice if you miss !! This also applies if you say there are “frequent” updates which turn out to be non-existent.
