SM29: Student Information Technology Policy

Purpose

Through this policy, LTT ensures that all computer systems and information technology are managed and configured securely. It also sets out the guidelines to be followed for the acceptable use and access relating to information technology usage by students of LTT.

Policy

LTT aknowledges that information technology usage and network system access are essential and an integral part of the organisation. For an effective systems management, this policy will outline acceptable behaviour for users of the information technology systems that:

  • Protects the integrity of the systems;
  • Enables all students to enhance their learning outcomes;
  • Respects the rights and privacy of other users;

This policy covers the use of LTT resources within LTT facilities and externally.

LTT facilities include student computer labs and IT equipment provided, either in training centres or onsite.

  1. Care and use of facilities

Facilities may only be used for the purposes for which they have been provided. They may not be used for other projects, (e.g. personal use, downloading non-work related files) except by prior agreement with the LTT Management.

1.1Students have a responsibility to treat the computing resources (hardware, software, network, furniture) with respect and in a responsible manner.

1.2Students must not attempt to install any software on any training facility without appropriate authorisation from the System Administrator.

1.3Students must not attempt to tamper with any facility in any way, physically or via software means. If they are responsible for any damage to a computer or other hardware and/or software they must report it to their Trainer immediately.

1.4Students must ensure that all devices connected to LTT facilities or used to access LTT resources do not contrain malicious software or files.

1.5Students must not attempt to harass others. This includes using computing facilities to send, retrieve or store obscene, abusive, fraudulent, threatening or unnecessarily repetitive messages.

1.6For security reasons, and to prevent infection by malicious viruses, personal IT devices, including laptops, tablets, and mobile phones must not be connected to the LTT network. This directive excludes USB memory devices

1.7Students must not eat or drink in the computer room, or while using any of the organisation’s computers. The computing area is to be left neat and tidy.

1.8Students must not attempt to connect, disconnect, move or otherwise interfere with any computers, monitors, mice, keyboards, printers, cables, or any other hardware.

  1. UserNames and Passwords
  2. Students must keep passwords secret and memorise them (for Moodle LTT Online Learining services). They must not give their password to another student/person to access the LTT network. If they suspect that someone has knowledge of their password, they must report the matter immediately to their Trainer. When the student logon to ‘Moodle’ LTT Online Learning’ they must use their own user name and password. If they forget their password, they should contact their Trainer immediately. Students must not save their usernames and/or passwords on the computer for the use of quick login.

2.2Students must log out of all services before leaving the computer. This includes the computer, Moodle LTT Online Learning and 3rd party services (such as but not limited to; Gmail, Hotmail, Google, Facebook, etc...)

  2. Students should make sure their data is safe and backed-up, it is very important to save files:
  3. On the network servers (S:\Students\Student Group\Student Name (e.g. S:\Students\Group 39\ Sarah)
  4. On a USB memory device,
  5. Or by emailing them to your home email account (when work has to be done at home)

3.2Students shouldn’t save documents on the desktop

3.3Student’s personal folders will be monitored by IT staff and/or teaching staff to ensure that all materials are appropriate and adequate.

3.4Students must ensure that files saved or uploaded do not contain malicious software or code.

  1. Printing

Printing is costly, and it is important to make sure that resources are not wasted by indiscriminate use of printers.

4.1Students should always print on both sides when you print more than one page where possible.

4.2The printers are only for students’ coursework. Printingof any personal material is not permitted

4.3Students must ask for help from their Trainer or from the Administration Office if they run out of paper or encounter a paper jam. They shouldn’t feed the printer with paper themselves.

  2. LTT has the right to monitor, track, or record an individual’s use of the Internet while using LTT’s IT resources.
  3. All activity on or through LTT’s Information Technology resources are recorded and stored. Users shall have no expectation of privacy when using such resources.
