Tremough Campus Mail Room

The Tremough Campus Mail Room deals with all incoming, outgoing and internal mail.

We offer an internal mail service to both campuses, Exeter and Woodlane.

The internal mail service between Exeter and Tremough runs three times each week, Monday, Wednesday and Friday. The van arrives at the Mail Room at approximately 10am and will usually leave again by 11am.

The internal mail service between Woodlane and Tremough runs on a daily basis inside and outside of term time. Inside term time there are two daily runs, approximately 10am and 3.00pm.

Outside of term time the service is reduced to one run a day at approximately 10am.

To avoid delay please ensure that your mail is clearly marked with the recipients name, department and campus.

We offer these services on a daily basis:

·  Standard 1st & 2nd Class Letters, Large letters and Packets.

·  Recorded Delivery

·  Special Delivery

·  Airmail

·  Standard Parcels

The Mail Room is situated within the main building, opposite reception and next to the library entrance.

Our aim is to provide timely and accurate handling and distribution of all incoming, Internal and outgoing mail.

Our hours of service are Monday to Friday 9.00am – 5.00pm

Lunchtime

The Mail Room will be closed between 1pm and 2pm. Mail can be delivered to the reception during this time where it will be collected and processed at 2pm.

Outgoing Mail

We will be Franking the mail in the Mail room so please ensure your post is in a blank brown or white envelope.

To ensure the smooth running of the mail room please clearly state your department number and which services you require on the envelopes prior to mail being delivered to the Mail Room. All unmarked mail will be sent by the cheapest available option.

All outgoing mail should be banded together, stacked the same way around and the right way up in the following categories:-

· UK (1st Class)

· UK (2nd Class)

· Airmail

· Recorded/Airsure/Special Deliveries

Please note that the Channel Islands do not require airmail.

If sending mail to Northern Ireland it does not need to be sent Airmail, however, it is essential that you use the correct postcode.

If sending mail to Eire (Southern Ireland) this does require Airmail.

When sending Printed Paper Airmail items, please ensure that it is clearly marked ‘Printed Papers’ in the top left hand corner along with a blue Airmail sticker.

Please note that when sending packages to destinations outside of the EU they will require a customs declaration (available from the Mail Room).

Courier – If you require courier services this must be arranged and paid for by your own department.

Please ensure when putting letters in envelopes that enclosures and paper clips are not likely to damage the franking machine or tear open the envelopes.

Paper clips should be positioned at the bottom of the envelope. Do not use staples and any files that have a metal strip down one side must also be positioned at the bottom of the envelope as

these also will damage the franking machine.

External mail should have return address clearly marked on the back. Royal Mail’s policy is that if no return address can be found on the envelope/packet etc and does not reach its destination it will be destroyed.

Please ensure that your mail is brought to the mailroom by 3.30pm as anything received after this time will be sent the following day.

Bulk Mailings

If a department is preparing for bulk mailing to be sent out, advance notice should be given to the Mail Room.

Incoming Mail

Mail will be collected from Royal Mail at approximately 8.30am and will be sorted in the Mail Room.

All departments should then collect their mail from the mail room from 10.00am onwards.

Larger Parcels Incoming/Outgoing

Please arrange for Porters to come and collect or drop off. If you telephone the mail room and give details I can arrange this for you.

Residences Mail

All mail for Glasney Parc will be delivered to the delivered to the Porter’s Lodge by Royal Mail. This should be delivered in the morning daily.

Students wishing to send mail are advised to do so via Penryn Post Office (which is situated in the middle of the town) and not through our central Mail Room. However, if the correct values of postage stamps are attached to envelope/packet, it will be possible to process this through the Mail Room or put into the post-box situated outside.

Financial Procedures

All outgoing mail will be metered or weighed to ascertain costing, this then will be recharged to your School/Department/Division using your departmental code.

This process will be managed on behalf of TCS by Rob Holmes, Deputy Director of Finance FCA and invoiced on a monthly basis.
