INFORMATION OFFICER

FOR THE HARROW DEVELOPMENT TRUST & THE HARROW ASSOCIATION

Primary Role

The Information Officer is responsible for maintaining and developing information systems, the records of Old Harrovians and members of other Harrovian constituencies, undertaking research into fundraising opportunities,providing prospect leads for fundraising colleagues and managing anddeveloping the Harrow Online Community. S/He works jointly for both the Development Trust and the Association.

The Harrow Development Trust is a registered charity, no 296097. The Harrow Association is a membership organisation representing former pupils of HarrowSchool. HarrowSchool is a registered charity, no 310033

Primary Duties

1. Raiser’s Edge

  • Maintaining & developing the Raiser’s Edge (RE) software, maintaining links and coordination with Blackbaud UK Ltd (the supplier of RE), and managing and distributing data information as required;
  • Maintaining RE in a high quality professional manner as befits a leading alumni relations & development office. Undertaking software upgrades and liaising with the School IT department about its progress;
  • Assisting & training 5A staff in the effective use of RE while maintaininghis/her own user competence at a high level;
  • Managing the inputting and reportage of data in a professional manner: producing reports, data for mailings and information for publications as required. Importing and inputing new data such as new parents’ listings;
  • Producing custom reports and donation records for the Director and the Financial Secretary, as requested.

2. Information Administration

  • Assisting the Association staff in all projects including House Reps, work experience, social & reunion programme and Clubs & Societies;
  • Answering or passing on queries from or about Old Harrovians. CollectingOld Harrovian news, deaths, births & marriages;

3. Research & Prospect ‘Gatekeeping’

  • Gathering and storing data and news about the School, Old Harrovians and parents from newspapers, the media and the internet. Distilling and offering such information for the Harrow Record and other uses. Producing such data periodically for the Development Trust and Association Boards, and the Directors;
  • Becoming proficient in prospect research particularly on the internet. Conducting research into high-networth prospects among Old Harrovians and parents. Managing periodical ‘wealth-screenings’ of database constituents. Conducting briefings for the Director and 5A colleagues on guests at events or other prospects, such as at HM Dinners or fundraising trips abroad;
  • Prompting prospect leads for fundraising colleagues by segmenting the database and building up prospect and relational data held in it.

4. Online Community

  • Managing and developing the Harrow Online Community web portal, promoting its use and developing its services for Old Harrovians, related constituencies and donors.

Any other tasks as requested by the Directors of the Development Trust and Association concerning the areas of information and technology generally, or other special projects they may determine.

The post holder’s responsibility for promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact will be to adhere to and ensure compliance with the School’s Child Protection Policy Statement at all times. If, in the course of carrying out the duties of the post the post holder becomes aware of any actual or potential risks to the safety or welfare of children in the school s/he must report any concerns to his/her Line Manager or the School’s Child Protection Officer.
