Internship Role Description

Title: Events Team Intern

Supervised By: Special Events/Sporting and Challenges Events

Section: Events Team, Fundraising & Marketing

Location: Southwark, London, SE1 0NS

Salary: Unpaid

Travel expenses reimbursed (up to London Zone 6)

Contract: 3 Months

Hours: Ideally 35 hours per week, Monday to Friday 9.00am – 5.00pm

About the Team:

The Events Intern will be a member of the Breast Cancer Care Events Team which sits within the Fundraising and Marketing function. The Events Team consists of three micro teams which are the Special Events team; the Sporting & Challenges team and the UK Walks team, together delivering a dynamic and attractive portfolio.

About the Role:

This is an exciting opportunity for someone looking to gain events experience within the charity sector. The intern will work with the Special Events Team for 4 days a week and the Sporting & Challenges team for 1 day a week as well as the wider Events team on occasions. The main focus of this role will be to assist with admin support and delivery of the charity’s annual London fashion show as well as supporting with some of our sporting, & challenge events. This role requires a confident telephone manner, efficient administration, creativity and planning.

Supervisory Support:

The role will be based in the London office and will be supervised by the Special Events Officer/Sporting and Challenges Events Officer, although there may be times when they will be accountable to other members of the team.

Flexibility:

In order to work effectively in a changing environment, flexibility is required from the Intern.

The post-holder must be prepared to travel throughout the UK and to work varying hours.

Main Opportunities:

To assist the Special Events team on the administration and promotion of the fashion show and the Special Events portfolio, which will include;

·  General administration; filing, keeping the events database up to date

·  To assist the Assistants in the packing up and sending out of all promotional materials / tickets to guests, champions, committees, volunteers and new contacts

·  To assist with calling guests attending to finalise guest names and dietary requirements

·  To assist with the collating of marketing opportunities for the events

·  To assist with the sourcing of gifts in kind for the events

·  Assist with our e-marketing and social media activity

·  To source on the day suppliers in kind to enhance the on the day experience for our guests

·  To assist with the model fitting day

·  To assist in arranging the packing for the event and unpacking on return

·  To assist with on the day delivery of the event.

·  To assist with admin during the thank you process post show.

·  To assist the other micro-teams with their event portfolio

To assist the Sporting & Challenge Events team on the administration and the evaluation / strategy planning for our event portfolio, which will include:

·  General administration

·  Assisting to review our current participant communication plans

·  To assist with Competitor analysis work on other charity event portfolios

·  Assisting to secure prizes for incentives over the next event season

·  Assisting with a participant questionnaire mailing

General

·  To be an effective member of the team, presenting a positive impression of the team and the service

·  To attend training as required

Desirable skills and abilities

·  Good IT skills, outlook, word, powerpoint, excel applications and communicating using social media (Facebook; Twitter etc)

·  Good communication skills (Confident telephone manner)

·  Ability to work as part of a team

·  Ability to work using own initiative

·  Good organisational skills with the ability to prioritise work and meet tight deadlines
