Job Title:Undergraduate Office Administrator (Reception)

Salary:£13,486to £15,303per annum, depending on skills and experience. Salary progression beyond this scale is subject to performance.

Reporting to:Undergraduate Officer (Joint Honours/Erasmus/Customer service)

Job Purpose:

To provide general administrative assistance associated with the School’s Undergraduate programmes, with specific duties and responsibilities associated with the Undergraduate Reception and providing administrative support for the UG Personal Tutor meetings, tutorial attendance registers, UG module boxes for overseas and Nottingham Campuses, and the administration of the bought in teacher processes.

Main Duties and Responsibilities:

  1. To act as the main contact on the Undergraduate Reception:
  • Providing information and support to students.
  • Answering queries.
  • Attendance monitoring.
  1. To provide administrative support for the UG Personal Tutor meetings:
  • Inputting meetings into the booking system.
  • Putting together personal tutor packs.
  • Updating student information.
  1. Providing administrative support for the Undergraduate Module boxes for Nottingham, China and Malaysia campuses:
  • Liaising with academic staff.
  • Scanning paperwork to create electronic module boxes and saving appropriately.
  1. Assisting with the administration of undergraduate assessment processes, including:
  • Coursework and examination script processing.
  • Admissions mailings.
  • Week one induction.
  • Module registration.
  • Archiving all examination scripts and coursework twice a year.
  1. Responsibility for keeping student related information up to date, including:
  • Sorting and distributing student post and coursework receipts.
  • Student notice boards/information.
  • Lecture cancellation.
  • Tutorial attendance monitoring.
  1. To carry out general office duties as and when required, to include:
  • Answering student queries, copy typing, photocopying, filing, sending faxes/e-mails, answering telephone enquires etc.
  1. Any other duties appropriate to the role and level.

Knowledge, Skills, Qualifications & Experience

Essential / Desirable
Qualifications/
Education /
  • Good standard of education evidenced by GCSEs or equivalent, plus previous work experience

Knowledge/Skills/Training /
  • Excellent customer service skills
  • Well-developed communication and organisational skills.
  • Excellent IT skills with a good understanding and experience of using MS Office are required.
  • Must be able to use own initiative and organise own workload.

Experience /
  • Experience of working in a customer service environment.
