One of the goals of the Sherwood Forest PTA is to enhance student learning by supporting teachers and staff in the classrooms. We hope that the PTA Grants can help fund projects or programs that enrich and enhance the learning of our students.

Grant Timeline

Friday, December 1st / Deadline to submit grant applications either in PTA mailbox or e-mail by 3:30pm
Wednesday, December 6th / Copies of all grant applications go to Grant Committee & Ms. Edwards for review
Between December 6 and December 13th / Grant Committee will meet to process grant application
Thursday, December 14th / Grant Committee representative will present proposal to PTA Board of Directors for approval
Friday, December 15th / PTA General Membership will be presented proposed grants for discussion/approval
Winter Break / Grant notification letters will be sent via e-mail

In reviewing grant applications, we will be looking for projects or programs that:

·  Directly relate to curriculum (special focus on literacy and STEM needs)

·  Have ongoing benefits (i.e. equipment that can be used again year after year, or programs that can be taught or used again by other staff in future years).

·  Represent a broad variety of departments at Sherwood Forest.

Please provide as much detail as possible regarding material or equipment you are requesting, including price lists or copies of catalog pages/ shopping carts. The Grant Review Committee must compare the merits of a wide variety of requests and will need thorough information to make sound decisions. We are looking for specific items rather than general requests. Please email me directly if you have any questions regarding the Grant Committee Rubric, how much or what kind of detail the Grant Committee is looking for (not as much as you think), and tips to help make the application process be as efficient and effective as possible.

Additional information:

·  The Grant Review Committee, comprised of parent volunteers, the PTA President/Interim-President and Treasurer, will meet to review applications and make recommendations for approval to the PTA Board of Directors and General Membership.

·  Grant letters will be sent to all applicants noting the outcome of their request during Winter Break.

·  Approved Grants will be published in the PTA Newsletter, Puma Press. We will also publish information about the grants that we were unable to fund but would still like to in hopes that the community might be able to supply the requested items or offer additional donations. This information would be provided in the form of a “Puma Wish List”.

·  Awarding all grant money will not be required if there are no proposals turned in or if the Grant Committee judges none worthwhile. Any grant money left over and not rewarded will revert to the PTA general fund for allocation at the end of the year.

• Repeat grant applications are permitted. However, when the PTA meets a grant request, it is not a

guarantee for future funding (such as funding the same initiative the following year).

• All materials bought with PTA funds are considered to be property of Sherwood Forest. They

must remain at the school if the Grant Recipient should ever leave.

·  Grant Recipients will have several options for receiving the grant funds.

1.  Reimbursement to Grant Recipient

§  The Grant Recipient places the order and purchases the product.

§  The Grant Recipient completes a Reimbursement Request form (with receipt attached).

§  The PTA Treasurer will write a check made out to Grant Recipient for reimbursement.

2.  PTA Purchase for Grant Recipient

§  The PTA will procure the approved grant items and deliver them directly to the Grant Recipient.

3.  Field Trip Funding

§  The PTA will write a check for field trips directly to the school.

4.  Literacy Funding

§  The Grant Recipients could receive funds in the following two ways:

·  The PTA will provide funds through Reimbursement (#1) or PTA Purchase (#2).

·  Through credit from the book fair proceeds.
