Dear Sir/Madam,

Beccles carnival Procession and family fun weekend. The event is being held at Beccles Quay, Fen Lane, Beccles NR34 9BB, on Saturday 18th and Sunday 19th August 2017, from 1.00pm- 10.30pm Sat and 1pm-6.00pm Sunday booking fees are for the weekend not per day. Stallholders must attend both days. Stallholders who don’t attend Sat will forfeit pitch with no Refund and will not be allowed on site to trade Sunday.

There has been a change in price structures this year all prices are for the weekend no discount for one day,(Standard size pitch is 12ft by 12ft).They are…

Standard size (12x12ft)Beccles Charity and Beccles organisations £40.00

All other Standard Size (12x12ft)(Not food, sweet or Beverage) stalls £45.00

Standard plus Size (16x16ft) £50.00 Standard Extra size (18ftx18ft) £55.00 All pitches include one car pass extra passes £5.00 each, No vehicles on site without car Pass.

Other size pitches price on request only (special price for large stall)

Food, sweet. Ice-cream and drink stalls price on request only limited availability

Fun Zone Pitches are for Rides, Bouncy castle, inflatables, Fair type stalls and go-carts etc are available please ask for details

Stallholders must be on site by 12.30pm on both days and no exit out of site before 6.15pm on both days. (Excluding emergency access) Stallholders must be off site by 9.00pm on Sunday 19th August 2018.

Full payment is required with return of booking form and cheques should be made payable to Beccles carnival. In addition please include a stamped address envelope for conformation of booking with reference number and receipt. (Booking is not confirmed until this has been received)

Stallholders must trade both days no single day bookings accepted.

All stallholders must include a copy of your public liability insurance, which must be valid for the carnival weekend and be for a minimum of 1 million. Fun zone stallholder’s liability must be 5million. Stallholders are responsible to do there own risk assessment for there stall and have it available for inspection on the day.

(Such insurance shall indemnify Beccles Carnival Procession against all and every claim for damage, negligence and or accident/ injury.)All generators shall be earthed at their neutral point by means of a suitable earth electrode and all systems shall be TNS. Generators should be suitably fenced or barrier to prevent public access from public areas.All portable electrical appliances including extension leads etc. shall be tested for electrical safety and a record kept. The records of a satisfactory test on all equipment shall be available for inspection on the day. Any hired equipment must come with a certificate of electrical safety.

No electricity is provided. Site is on grass.

Only one vehicle is allowed on site per stall, unless otherwise agreed prior to event.

The stallholder accepts sole responsibility for the maintenance and security of his/her stall and is liable for any damage caused to his or her vehicle and stalls however so damaged. Stallholders are responsible for there own risk assessment and must make sure all vehicles have relevant legal documents e.g. tax, mot etc.

All equipment used and needed (e.g. marquee must be fire retardant, gazebo, tables etc) must be supplied and erected safely by the stallholder. Pitch is on Grass.

We reserve the right to prohibit the sale of any item or services provided

Verbal abuse will not be tolerated and anyone not following guidelines of stewards/marshals shall be removed from site and there booking cancelled and no refund will be received. Portable gas supplies for cooking should be kept to a minimum in designated areas away from the general public. The same should apply to any fuel supplies for portable generators etc. Gas systems should conform to and operators have regard to the LP Gas Associations Code of Practice 24. Use of LPG cylinders Part 3:2000. Use of LPG in mobile catering vehicles and similar commercial units. They may also wish to refer to HSE LAC 52/13 The Keeping and Use of LPG in Vehicles and Mobile Catering Units. We reserve the right to prohibit the sale of any item or services provided by a stall if deemed to be illegal or causing offence.

(All food/catering stalls must be registered with their local authority and evidence must be on show and returned with booking form.) All catering units must be open for inspection by the Environmental Health Services. If they do not comply with regulations they will not be allowed to trade. The provision of the Food Safety Act 1990 (as amended), Regulation (EC) No. 178/2002 applied by The General Food Regulations 2004 (as amended), Regulation (EC) No.

Stallholders may only sell from their stall they are not permitted to move around site without prior written permission.

Unauthorised fly posting is not permitted and may result in prosecution.

No littering you are responsible for keeping your site clean and tidy. Bins and skip are provided on site.

Please note-booking fees for stalls are non-refundable. Pitch size booked is the pitch you receive, please ensure you have booked correct size as pitch is not changeable once booked,this includes guy ropes and signage erected on stall plus towbars, no selling of items outside pitch or in pitch footage, please ensure you allow yourself amble space as stalls allocated in close proximity to one another.

Please complete all sections of booking form. (No late bookings accepted after 30th June 2017). But booking may close earlier if full.

The entry to the event for members of the public is Free but donations are encouraged. Bouncy castles must follow the HSE guidelines – Each inflatable devise must have a valid PIPA inspection tag. You must also have your own public liability insurance for bouncy castles.
