3rd VIDEO CONFERENCE MEETING MINUTES FOR 2017 PACIFIC INTERNET GOVERNANCE CONFERENCE – PORT VILA, VANUATU

ON 17th MARCH, 2017 FROM 03:00PM to 04:00PM FIJI TIME AT THE UNIVERISTY OF THE SOUTH PACIFIC, LAUCALA CAMPUS, SUVA, FIJI.

  1. REVIEW OF DECISIONS OF VIDEO CONFERENCE OF 23RD FEBRUARY

The meeting reviewed the decisions of the second video conference held on 23rd February. The review is presented in the table below.

  1. ADOPTION OF VANUATU OFFER TO HOST

The meeting noted that the Vanuatu had offered to host the 2017 IGF and this was accepted by all present and it was further noted that no objections had been received since the notes from the second video conference was circulated.

The initial offer from Vanuatu indicated that they were proposing to host on the dates associated with ICT Days, probably May 17-18

Donnie asked John on behalf of Vanuatu to obtain an official letter that Vanuatu will host conference and to outline what Vanuatu will be offering in its bid to host.

There was no dissent on the conference being held in Vanuatu, and John was thanked for offering to host.

  1. ESTABLISHMENT OF AN INFORMAL ORGANIZING COMMITTEE – AGREEMENT ON WORKING METHODOLOGY

Save, now in Copenhagen, has socialized the idea of the conference among that group. Some funding may be available. He will discuss with Donnie the requirements to obtain funding (e.g., multi-stakeholdering, civil society groups, etc).

Pua, John Chand, Ipinu, Sereana, Johnnyboy, Jackson, Andrew and Save volunteered to work with the organizing committee.

  1. ASSIGNMENT OF RESPONSIBILITIES

Save suggested using Google Groups as a way to organize the documents and track organizational progress. He volunteered to set up the group and Donnie under took to provide him with the relevant documents.

Three subcommittees were suggested: (i) Funding, (ii) Logistics, event planning and travel arrangements; and (iii) Agenda & Speakers. Assignments to subcommittees will be discussed on the next conference call.

Save also volunteered to work on the committee for funding.

Volunteers were sought to assist Vanuatu in logistics and planning. Donnie stated PIRRC can help with administrative support from Fiji.

The meeting agreed on the follow up actions outlined below:

Develop a list of invitees / The Noumea list will be the basis for the first cut of invitees as well as the foundation for a proposed agenda for the conference / List to be completed by Friday 24th

There was no other business tabled for the meeting. There was agreement that the next call would be the last week of March, probably the 30th.
