Meeting Minutes

Present

Ken called the meeting to order at 7:14 pm at Carolina Nutrition. Minutes from May 2015 were approved.

A discussion was held regarding having a quorum to vote on by-law changes and officers.Discussion regarding getting more people involved for the Imp Club to survive. The possibility of a general meeting beingheld on a quarterly basis during the week to get more people involved.

A decision was made to send an email to all board members and spouses who are members to get the by-laws changes re a reduced quorum number, gain their votes via email. Once that was decided then an email would be sent out to all Imp Club members to vote on the new officers for the coming year.

Ken will forward all notes and voting emails as well as changes to the bylaws to the new secretary to add to the board minutes book and retype the new bylaws.

There will be a new Sports Pass form available on the GOIMPS.Com site

Sports passes were ordered from Strawbridge Studios this year at no cost to us. We will see how they look and if they meet our needs.

A discussion regarding ordering and paying for sports passes on line took place. It was tabled until Ken can talk to Angie Edwards, Membership Chair before a decision is made.

Ken reiterated that sports passes need to be sold at home games, freshman camp, football kick off evening, August 8th and senior parking pass day.

Concession- Ken Kinsey

We still need a concession lead for the fall and possible a separate person for winter and spring. This person will need to get the cash boxes ready, open and close and organize the volunteers for sporting events.

Deb Ryan suggested aprons for workers like Cary Swim Club has. They would have “Cary Imp Club” printed on them from Logo Joes. The aprons would be black. It was agreed Deb Ryan will order 12 of the aprons and get the printing done and have them ready by the first game.

The popcorn machine needs a $40 part and a gasket. It was agreed to fix it and test it to see if works. If not then we will need to purchase a new popcorn machine.

Robin Bunting will donate a laundry basket to collect the dirty aprons and dish towels so they can be washed after each game.

Pepsi has offered to take the old fridge out of the field house. Pepsi will be contacted to donate more blue bins for drinks. The metal tubs will be removed from the concession stand as they are in the way and be used by sports teams.

Robin Bunting has received a special cleaner for the popcorn machine to clean it better. She will try it this summer and make sure it does not affect the taste of the popcorn.

The Pepsi soda syrup has expired and a discussion was held about replacing it. Ken Kinsey stated it does not affect the taste and to use it this fall. We have 4 bottles of CO2.

The concession stand and all supplies will need to be stocked and ready to go by August 15. The first game of the season is soccer on August 17.

Summit Church is working with Football Coach Kirst and Mike Dunphy to paint the field house and spruce up the grounds before the fall. Their congregation wanted to give something back to CHS as they use our school for their church.

WCPSS sprayed the concession stand for ants.

Robin Bunting has donated 4 large planters to be used around the concession stand and filled with plants and flowers.

Sponsorship – Ken Kinsey

Katche has sent Ken a list of current sponsors. They said after the fall gaining new sponsors is difficult as fall sports have the most attendees.

The contract for the coming year will be reviewed and signed by Ken Kinsey.

Robin Bunting, Fall Sports Program Chair said that all ads are needed by August 10 from Katche.

Mike Dunphy is getting new quotes for a scoreboard and will forward to the Imp Club when they come in. He is looking at a score board with a smaller imp and more space for scores and numbers. Also to consider is a LED board at the bottom and scroll the names of all sponsors. It cannot be larger than the current scoreboard. He suggested getting Katche to get sponsors to donate higher amounts for the scoreboard.

TMAC has agreed to be a football sponsor this year and is donating $5000 in food to feed the varsity football team on Fridays. Their banner and program page will remain as is.

Raffle tickets are needed by July 30 as the football team has their fundraising Blitz on August 1. Michelle Mendel agreed to contact Chick Fil A to be the sponsor for the back of the tickets. The City BBQ sponsor for the spring was not as popular. A suggestion was made to ask the new Penn Station sub shop to be the winter or spring ticket sponsor.

Spirit wear

A full page will be added to the fall program to advertise the new spirit wear clothing website. A page will also be added for Powder Puff events too.

Ken and Mike are working to get the website set up, tested and working before freshman camp.

It was approved that the Football Club may sell their t-shirts and magnets from the concession stand spirit wear window. We will keep their money separate and deposit it into their bucket. “Team 95” is the slogan for football this fall season as it is the 95th year CHS has had a football team. This will be the theme for the cover of the program.

Sports Program – Robin Bunting

Robin reported August 10th is the cut off. She asked Mike Dunphy to send her the date of team photos this fall and the contacts of the fall coaches to remind them she needs rosters. A letter from Mike Dunphy, Nolan Bryant and Coach Kirst is needed.

More marketing and reminders will be done to encourage parents to purchase ads.

Ken asked each Imp Club board member to contact at least 5 businesses and people and ask them to place ads in the sports program.

85 people registered for football

60 are registered for soccer

All fall sports schedule will be up by July 1st.

Diane Delany and Robin Bunting will meet with Ken to gain instruction about updating the website.

Rent an Imp – Deb Ryan

Deb Ryan stated she would be getting it organized and determining how to sell them for the fall; how to cover the existing paint, using new stencils, etc.

Treasurer Report-Michelle Lovell

Michelle Lovell reported and a discussion re allocation took place.

The AD general expense was $18,000 and now the budget shows $30,000.

There is $43,311.63 in assets. (BB&T money market is $23,109.17 and checking is $20,202.46).

The budget for the coming year was proposed and discussed. A vote will need to taken to approve the by-laws change and officers and budget voted on in July.

$30,000 is proposed as the new sponsorship goal for Katche.

The negative - $815.36 balance for women’s lacrosse has been on the books for the past 3 years. A discussion took place on whether it should be zeroed out. Ken said he preferred leave it as is and in the future if we have excess funds in the sponsorship account it could be zeroed out. Then in the future negatives will always come from the scholarship account to keep the accounting consistent. Mike Dunphy said he preferred to zero the account out as we had done for cheerleading in the past. He said it is not fair to not clean it up and pass the debt onto a new coach/team. Mike would prefer the money come from the money market and not the scholarship account. A vote was taken and all agreed to take $$815.36 from the money market account and zero out the women’slacrosse debt.

Michelle reported the teams are doing better and taking ownership of their fundraising and thus we do not have as many negative accounts.

Athletic Director – Mike Dunphy

Mike Dunphy reported in 2017 he will purchase all new football uniforms which will be a big expense.

He wants to reduce his budget and see the money market grow.

Kurt Glendenning will be the women’s golf coach.

Ms. Troxler will be the varsity cheerleading coach.

Ms. Kennedy will be the JV cheerleading coach.

The wide receiver football coach will be coming in July. He is a former ECU coach.

WCPSS is going to having one website for all county athletics and it will coordinate with MaxPreps. We will feed out info and stats to MaxPreps and they will populate the WCPSS athletic site. The athletic directors are meeting on June 22 to gain additional information regarding the site. He thinks we will just provide schedules, scores and coaches info and keep our own GOIMPS site for the majority of information. Each school will be charged a fee from WCPSS for the new site. More information will need to be gained before any decision made.

Mike wants to schedule another work day. The date will be determined and announced at the July meeting. He wants to see what the Summit church people complete first.

A special thank you to Michelle Lovell, card and plant presented to her. She has been the treasurer and we thanked her for her professionalism and service to Cary High and the Imp Club.
