SECTION 1: PRIMARY JOB FUNCTION
The Student Life Coordinator will be responsible for, but not limited to, recruiting and retaining volunteers for the Brock University Students’ Union volunteer database, supervising O-Week, Wellness Days and Frost Week Volunteers, and helping to facilitate volunteer recognition events in conjunction with the VP Student Services. The Student LifeCoordinator will work closely with Brock Student Life, Athletics and all other departments as necessary. The Student Life Coordinator will also support key Athletic events, by coordinating Isaac’s Army efforts. This role will be the student expert on the ground level in the halls, tabling and showcasing our events and service in support of the VPSS, Marketing Manager and Director, Student Life and Communications. This role will be involved in Smart Start, Job Fairs, Open House and all other events as assigned by the Marketing Manager and VPSS
Responsibility 1: Volunteer Recruitment / Maintenance / School Spirit
  • Recruits volunteers to help with the execution of Orientation Week/ Frost Week, Wellness Weeks and all other BUSU events throughout the year.
  • Promote BUSU’s volunteer opportunities to the fullest as well as set application criteria for volunteers, review applications, build volunteer teams, and correspond with members throughout the year.
  • Organizes a volunteer retreat to train, inform, motivate, and schedule volunteers for Orientation Week in conjunction with the VPSS and Special Events Coordinator.
  • Lead Isaac’s Army effortsin support of key Brock University Varsity Athletics events in order to strengthen school spirit during athletic games. Efforts are coordinated to ensure a balanced support approach to all teams in the Varsity program.
  • Evaluates event success after its execution. Submits written report/stats of each event to the Vice President Student Services and Director, Student Life and Communications.
  • Provides volunteer support upon request.
  • Ensures scheduling of volunteer support is coordinated for events.
  • Ensures all volunteer hours are tracked.
  • Expected to be at or on call during events that require large volunteer support.
  • Take the lead on the Volunteer Recruitment cycle in Feb. /March. Prepare and organize the volunteer data base for the next years planning.
  • Help to create an incentive or recognition plan for those Volunteers.
The Student Life Coordinator has been designed to provide first-hand information about what it is like being a Brock student. As a Student Life Coordinator, inevitably, you will be seen as a role model. As a role model, the Student Life Coordinator is in an ideal position to be a source of inspiration and spread the interest in and enthusiasm of this the University and the Student Experience to current and prospective students. Student Life Coordinators get to develop valuable skills in creativity and organisation. Students also get to represent the University to the outside world through the number of events and activities we organise as well as online through social media and blogs, promoting the benefits of further education and being a student at Brock University and from BUSU point of view.
Responsibility 2: Marketing
  • Be the student expert and advocate for BUSU through marketing, events, volunteer, smart start
  • Always engage the student population to provide awareness, and support through our services, businesses and experiences.
  • Support of the Social Media Coordinator with events, campaigns as per the Marketing Manager.
  • Support the Partnership Manager with set up and tear down of the Vendors.
  • Support all Vendor Fairs throughout the academic year.
  • Assist in the bringing awareness to students of BUSU’s services, events, businesses and governance initiatives at Brock, primarily through in hall promotion and through distribution of printed material.
  • Offer suggestions, creative ideas and new methods of reaching the student population to the marketing team of BUSU.
  • Provide feedback on new events and services ideas as well as find student feedback on events and services.
  • Engage with students on a number of platforms including in person and online.
  • All other duties as assigned to support Student Life events, marketing, services and clubs.
What do Student Life Coordinators do? Please note Student Life Coordinator will be called upon to help the marketing team with all BUSU and Brock events such as Open House and Memorable Moments. With these events you will be working with the Marketing and Event Coordinators
  • Subject Talk – give talks about their experiences and what it involves, what they like or enjoy about the position, placement opportunities and career plans (Job Fairs)
  • Talk About Student Life – Student LifeCoordinator give talks to share their experiences about what it is really like to be a student at the University
  • Get involved in other student recruitment and promotional activities.
  • Work with Social Media and Web Design Marketing Coordinators on group projects
SECTION 2: POSITION REQUIREMENTS
  • Strong oral and written communication skills.
  • Working knowledge of BUSU services.
  • Computer skills (word processing, spreadsheet, database, internet).
  • Excellent planning, organization and time management skills.
  • Ability to resolve conflict in an effective and diplomatic manner.
  • Ability to work independently or as part of a team.
  • Ability to motivate, volunteers and the student body

SECTION 3: HUMAN RELATION SKILLS, PROBLEM SOLVING AND ACCOUNTABILITY
  • Daily contact with the Vice President Student Services, Marketing Manager and the Director, Student Life & Communications.
  • Regular contact with entire office staff.
  • Regular contact with marketingteam members.
  • Regular contact with Special Events Coordinator and Event Programmer
  • Regular contact with Partnership Manager
  • Regular contact with International Student Services/ International students
  • Occasional contact or members of BUSAC.
  • Occasional contact with staff members of the University when working on special projects.
  • Occasional contact with divisional staff at meetings, or disseminating information.
  • Occasional contact with representatives from other Student Associations when sharing information.
PROBLEM SOLVING
  • Manage the various tasks and projects assigned at once.
  • Mediate any conflicts that exist between volunteers or event stakeholders.
  • Resolve logistical conflicts that may arise.
  • Negotiate with University and other stakeholders regarding events.
SECTION 4: ADDITIONAL INFORMATION
  • Meets with the Vice President of Student Services approximately 3 times per week.
  • Meets with the Vice President, Finance & Administration as needed regarding budgets.
  • Meets with Marketing Manager during regular shifts
  • Meets with Director of Student Life periodically
  • May receive approximately 50 emails per day.
SECTION 5: ADDITIONAL QUALIFICATIONS
  • Legally eligible to work in Canada
  • Must submit a completed BUSU job application with resume and cover letter.
  • Must be a registered undergraduate student at Brock University during the term of their employment
  • Must have a minimum 60% academic average at the time of their application as confirmed by the registrar’s office
PHYSICAL ENVIRONMENT: Event locations will change regularly. Working in outdoor and indoor environments. Weather can be a factor in work environment.
SENSORY ATTENTION: Working with and communicating with students, staff and community members. Job requires a high level of concentration and focus.
MENTAL STRESS: The Student Life Coordinator must be able to work flexible hours in order to be successful. Must be able to work in fast paced environment and work through complex situations which ensure that the Health and Safety of the workers is included
