Exhibitor Guidelines

Radisson Paper Valley Hotel

The Radisson Paper Valley Hotel in Appleton, Wisconsin is the location for the 2017“Common Ground: CoordinatingEfforts to Improve Student Success Conference. Display space is limited and will be assigned as requests are received at the WACTE office.

Display Space

  • 8’ x 10’ booth with 8’ high background drapes and 3’ high side rails.
  • One-line identification sign (7” x 44” with 2” letters) with your company name.
  • One 2’ x 6’ x 30’’ table with white vinyl top and burgundy skirt with two chairs.
  • Electrical service (one 500 watt outlet).

Rates and Payment

  • Booth cost is $400.00 – this year space is limited and we are only allowing one booth per exhibitor.
  • Full payment must accompany the Exhibit Space Contract.
  • No monies shall be refunded if display space is cancelled.

Installation and Removal

  • Exhibitors can install exhibits on Tuesday, October 24, 2017, from 5:00pm 7:30 p.m.
  • All displayswill remain intact until 12:15p.m. on Thursday,October26,2017.
  • All displays must be dismantled and removed from the Exhibit Area by 2:00 p.m. on Thursday, October26, 2017.

Display Hours

  • Exhibit display hours will be: Wednesday, October 25, 2017 – 7:30am to 5:00 p.m. &Thursday, October26, 2017, from 7:30 a.m.–12:15p.m.
  • The Exhibit area will be closed during the luncheon session on Wednesday & Thursdayto allow you to participate in luncheon.

Display Assignment

  • Exhibitor display space will be assigned according to the date that the Exhibitor Contract and payment is received at the WACTE office.

Official Decorator

  • Electrical services, furniture, lighting, carpeting, labor to set-up and teardown, drayage, and other special requirements must be arranged through the decorator. Please direct any questions to WI Expo, Inc. at 262-670-1300.

Shipment and Receipt

  • All property shipped by the Exhibitor is at the sole risk of the Exhibitor. Exhibitors are required to provide all insurance and/or policy riders to cover booth contents.

Insurance

The 2017 “Common Ground: Coordinating Efforts to Improve Student Success Conference, WI Expo Inc., WACTE, WTCS and the Radisson Paper Valley Hotel do not maintain insurance covering the exhibitor’s property. It is the sole responsibility of theexhibitor to obtain the appropriate amount of insurance to cover their property, agents, or employees from theft, damage by fire, accident or any other cause.

Liability

TheExhibitor agrees that the 2017 “Common Ground: Coordinating Efforts to Improve Student Success”Conference, WI Expo Inc., WACTE, WTCS and the Radisson Paper Valley Hotel and any of their officers, staff members, agents, or employees are not responsible for and are released from all liability as to any injury, loss, or damage that may occur to the exhibitor, the exhibitor’s agents or employees, or any other person, or the sponsor’s property prior, during, or subsequent to the holding of the 2017“Common Ground: Coordinating Efforts to Improve Student Success Conference.

Limitations

  • Displays may not project beyond the space allotted and aisles must be kept clear for traffic. Displays shall not obstruct the view or interfere with traffic to exhibits of others. The playing of music (live or recorded) is not allowed during the exhibit hours due to copyright laws.

Fire/Electrical/Safety Regulations

  • All materials including table drapes, back wall materials, textile or paper displays and any other decorations or items in the sponsor’s booth must be nonflammable and are subject to inspection by the City of Appleton Fire Marshal.

Security

Exhibitorsare encouraged not to leave display areas unattended during display hours. Exhibitors are cautioned that small, portable articles of value should be properly secured or removed for safekeeping after exposition hours.   • WI Expo Inc., WACTE, WTCS and the Radisson Paper Valley Hotel will not guarantee sponsors against nor shall it be responsible for loss of any kind.

Cancellation or Postponement of Conference

In the event of fires, strikes, riots, civil commotion, acts of nature, war and other unavoidable circumstances rendering it impossible or impractical for any reason forthe 2017“Common Ground: Coordinating Efforts to Improve Student Success

Conference, WI Expo Inc., WACTE, WTCS and the Radisson Paper Valley Hotel to perform such contract, the performance under such contract shall be excused. In such events, all deposits and payments made by the exhibitor for exhibit space shall be returned to exhibitor, minus expenses actually incurred, in connection with the conference.

  1. Recognition in the Conference Program.
  2. Display space during the hours indicated
