Principle Function

The Office Administrative Assistant serves as the church’s central point of contact with BCUMC members and the public. This position is responsible for handling tasks and communication related to record keeping, office administration, church calendar and events updates, telephone support, publications and correspondence. The right candidate will be a motivated self-starter with a professional demeanor, and will possess a positive attitude and excellent verbal, written, and interpersonal communication skills.

Office Responsibilities

·  Effectively communicate with staff, members, service technicians and vendors to conduct the business of the church.

·  Provide first line of support for visitor walk-ins, phones, email inquiries, and mail distribution, directing communications to the right staff member when necessary.

·  Coordinate reservation requests for church facilities, ensuring reservations are properly
managed to avoid scheduling conflicts.

·  Manage the church calendar by entering and following up on event requests.

·  Order, inventory and monitor use of office materials, supplies and postage.

·  Work closely with the Office Manager to coordinate the repair and maintenance of all office equipment with appropriate vendors.

·  Maintain database of maintenance vendor contacts and manage monthly reporting of LCRA septic system, Cintas AED Machine and Muratec Copier.

·  Communicate with the Maintenance Technician concerning needed repairs and building usage.

·  Utilize filing and retrieval systems for current and historical records.

·  Maintain accurate attendance and member records through ACS Realm Software.

·  Issue keys to campus buildings and monitor usage.

·  Assist Connections Specialist in all areas of member relations.

·  Assist with Financial data-entry as needed.

Media & Publications

·  Prepare, edit and produce regular church publications including the monthly
e-newsletter, and weekly worship bulletins and inserts. Collect necessary information such as articles, music, and scriptures from pastors and other contributors. Input into existing Apple Pages templates, arrange, and proofread before distributing.

·  Update and maintain church website through the use of an existing and user friendly content management system. Review website frequently for critical updates, errors and necessary additions.

·  Assist in the development of other print materials for special events such as Stewardship, Palm Sunday, Easter and Christmas.

·  Contribute to the execution of a consistent brand that is recognizable as BCUMC.

Other Responsibilities

·  Participate in staff meetings, providing event requests for approval, and taking the initiative to identify communication and planning needs of the church for the weeks ahead.

·  Participate in Annual Charge Conference and work with Pastors, Office Manager and Committee Chairs in the creation of the Annual Report.

Qualifications / Core Competencies

Technical Skills: Must have working knowledge of personal computing, and be familiar with Microsoft Word and PowerPoint. Experience with Apple Pages is a plus but not required. Website content management experience is a plus but not required.

Organizational Skills and Attention to Detail: Excellent organizational skills and multi-tasking abilities. Ability to handle multiple projects simultaneously, prioritize and initiate follow up as needed. Strong editing and proofreading skills required.

Teamwork and Team Building: Readily adaptable, enthusiastic team player. Ability to interact and work alongside others is essential.

Communication Skills: Excellent interpersonal, facilitation and communication skills, both on phone, in person, and in written communication. Works to create open channels of communication between staff, lay leaders and church members. Able to maintain confidentiality.

Spiritual maturity: Intentional about growth in faith and seeking to live out the teachings of Christ. Willing to be in continued prayer for our church/pastors/staff/congregation. Thirst for Bible knowledge and firmly grounded in the purpose of God’s church. A dedicated Christian, Methodist background/affinity helpful.

Time Management Skills: Ability to prioritize conflicting demands on time is essential, as is the ability to navigate internal resources (people, funding, and materials) to generate results. Schedules and plans in advance for the benefit of the mission and work of BCUMC.
