MEETING MINUTES
October 13, 2005

I. WELCOME & INTRODUCTIONS
User Group members introduced themselves and identified what centers they represented. Jennifer has assumed the position of Interim InfoNet Project Director since Karen Griffith resigned in September to accept a position in Washington D.C.
Tom Nichol is a project assistant with InfoNet.
II. REVIEW OF JUNE 8, 2005 MINUTES
Users reviewed the June 8 InfoNet User Group meeting summary.
III. UPDATES
A. Transition Plan
Jennifer explained plans for managing InfoNet until a permanent project director is hired. Jennifer’s appointment is for 60 days, though it may be extended if the position hasn’t been filled. She and Tom will be the primary contacts for InfoNet questions and concerns until further notice.
IV. STATUS OF SYSTEM UPGRADES
A. Group Services
Jennifer explained planned changes to the data entry process for group services as discussed in the June 8 meeting. Changes have been completed and are ready to roll out on November 1.
B. Pick List Categories
Users reviewed changes to pick list categories. The changes to the Education field below were discussed at the June 8 meeting:
· Completed some college (change from some college)
· High School Grad/GED
· Current student K-12
· Not school age (clarify as age 5 and under)
· Current College Student
Per request, Other has been added under the Sex category.
In the Charges category, the following will be added:
· Attempted homicide
· Resisting arrest
Jennifer asked users to review the Relationships category (significant other to victim and offender to victim) once more before ICJIA implements changes.
All changes to pick list categories should be rolled out January 1; some may be available November 1, if possible.
C. Civil No Contact Order (CNCO)
A separate field noting Order Type with the following choices will be added effective January 1:
· Emergency
· Interim
· Plenary
· Unknown
D. Funding for Staff
Upgrades to Funding for Staff affecting funding history statements are being tested and should be ready in early November. Upgrades will include validation for current funding sources. ICJIA staff will confirm funding sources with ICASA staff before rolling out changes on January 1.
E. Medical/Criminal Justice and Police/Prosecution
Changes to this area are pending. Jennifer will talk to programmers about the status of planned changes.
F. Reports
Users asked for removal of the demographic data that appears on non-client crisis intervention reports. No other reports include this information as shown. Jennifer thought this information could be hidden on these reports and will follow up.
G. Follow-up
Jennifer will contact centers and ICASA staff to test data before rolling out upgrades.
V. INFONET TRAINING NEEDS
Karen met with ICASA’s Governing Body in June to review planned InfoNet system upgrades for July 1, 2005 and to discuss future plans for InfoNet.
Users discussed FY06 InfoNet training needs. Jennifer agreed to provide InfoNet trainings and proposed available dates for Springfield and Chicago area trainings. Plans for adding an intermediate level reports training will be postponed until the InfoNet Project Director position is filled. In the meantime, Jennifer will conduct New User training and training on Generating Reports and Funding for Staff.
ICASA staff will forward training information to centers once dates and locations have been confirmed. Carrie noted the new ICASA computer lab is also available for ICASA staff to provide 1:1 training and technical assistance for centers. There are 4 computers in the lab.
VI. OTHER BUSINESS
A. InfoNet User Manual
An updated InfoNet manual remains pending. Tom will begin working on the InfoNet manual for sexual assault programs once the manual for domestic violence programs is complete, hopefully by the end of 2005. Users discussed items for inclusion in the manual.
B. FY06 User Group Meetings
Users agreed to cancel the December meeting since planned InfoNet changes are underway for January 1. The group will meet as planned in March and June 2006. Meetings continue to be held in Bloomington from 10:00 a.m.-12:30 p.m.
