On behalf of the Pennsylvania Optometric Association, I would like invite you to join us at our Annual Congress at Bedford Springs Resort from May 15-17, 2015. We are looking forward to an outstanding mix of education, business and exhibits, and hope that you will join us. After our last visit to Bedford Springs in 2012 the members attending gave us rave reviews and vowed to return, bringing their friends with them.

Exhibit hours are scheduled on Saturday, May 16 only. We’re going to pack the time with plenty of opportunity for you to interact with the attendees by providing food, drink and prizes in the hall. There will be no other activities planned opposite this exhibit time. We have been selling out our exhibit space the past few years and we expect this location to bring the same results, so we encourage you to register early.

We also invite our exhibit representatives to join us on Friday morning for our annual golf outing. We took a hiatus in 2014 due to our move to March, but we’re back on track and will be playing one of Golf Week’s Top 100 courses at Bedford Springs.

It is important that you provide contact information for your representatives so we can provide updated information if necessary. We have found that some company representatives don’t receive all the information required for attendance.

PENNSYLVANIA OPTOMETRIC ASSOCIATION SPRING CONGRESS

EXHIBITOR INFORMATION

STANDARD BOOTH

The booth fee is $1200. Each exhibitor will be provided with a standard 6’ table and two chairs. Two registrations per booth are included, and 2 lunches in the exhibit hall will be provided.

INSTALLATION AND DISMANTLING

The exhibit hall will be open for set-up on Friday, May 15 from 3:00-6:00 p.m. and Saturday, May 16 from 8:00-9:30 a.m. No exhibitor will be allowed access to the hall prior to this time.

Set-up must be completed by 9:30 a.m. on Saturday. Any booth which is not set up by this time will be unable to display. Exhibitors may not begin dismantling of their booth until 2:30 p.m. and must be completed by 4:30 p.m. on May 16th.

EXHIBIT HOURS

Exhibit hours are Saturday, May 16 from 11:00 a.m. – 2:30 p.m.

EXHIBITOR HOUSING

All sleeping rooms within the POA block must be requested by calling the reservations department at the Omni Resorts at 1-800-THE-OMNI indicating the POA group prior to April 22, 2015. Deluxe rooms are $180/night plus fees and taxes. UPDATE – we have been notified that our room block has filled. Please contact the Fairfield Inn by Marriott, which is located just a couple of miles from Bedford Springs. Their number is 814-623-3444. Ask for the POA room block.

EXHIBITOR REGISTRATION

Please make sure that the POA has the name and e-mail addresses of all representatives so that final details can be provided directly to the attendees. We have found that many representatives do not receive this information from the company.

DRAYAGE AND AUDIO-VISUAL NEEDS

Packages can be shipped directly to Bedford Springs Resort. Instructions will be provided with exhibitor confirmation information.

SPACE ASSIGNMENT

Exhibit space will be assigned to POA Business Partners first, then on a first-come, first-served basis. All applications must be accompanied by payment in full to be considered.

CANCELLATION

If an exhibitor cancels space at any time prior to the POA Annual Congress, POA shall retain 50% of the total contract obligation. Should your company be a “no show”, POA will retain 100% of the total contract obligation.

CONTRACT

The undersigned requests booth space for the 2015 Congress of the Pennsylvania Optometric Association and agrees to participate as an exhibitor. We agree to have our table set up during the entire period of the Congress, and also agree to open our table only during those hours set aside as exhibit hours of the Congress.

The registration fee for the Congress is $1200.00 for each 6’ table. Full payment due for the exhibit space required will reserve your table(s.) Please make your check payable to the Pennsylvania Optometric Association. It is understood that the registration fee for the exhibit booth includes two (2) registered representatives for each firm, per booth. Each additional representative will be charged $50.00.

It is also agreed that if an exhibitor cancels space at any time prior to the Congress, POA shall retain 50% of the total contract obligation. Should your company be a "no show" at the time of the Congress, POA shall retain 100% of the total contract obligation.

No exhibitor shall sublet, assign, or share any part of the space allocated without the written consent of the management. Solicitations or demonstrations by exhibitors must be confined within the bounds of their own respective table. Operation of video equipment is allowed if the exhibitor complies with the restrictions on volume.

Exhibiting company shall carry appropriate insurance in the case of loss or theft.

The undersigned hereby agrees to save and hold harmless the POA for any and all claims for damages arising out of our participation in the POA Annual Congress, May 15-17, 2015. The firm hereby also agrees to indemnify POA, its directors, officers, employees, agents and assigns against, and holds them harmless from, any and all claims, demands, liabilities, actions, suits and preceedings arising out of, or connected with, participation in the POA Annual Spring Congress, including without limitation, any and all bodily injury or death which results from such participation.

This agreement contains the entire agreement between the parties relating to the rights herein granted and the obligations herein assumed. Any oral representation or modification concerning this agreement shall be of no force or effect excepting a subsequent modification in writing, signed by both parties.
