ESL Student Registration Checklist

  1. ___Review/VerifySM700AIntent, Program Code, Student Type, Address, Phone Number
  2. ___ Check the SM6015 screen to determine which quarter the student last enrolled in ESL classes
  3. ___ Check the SM 5003 for any unusual action holds. (Refer to Scenario 3 at the end of this document)
  4. If the student is returning to ESL after more than one year (Example: student registered for classes for summer 2015 and is returning for fall 2016) they must attend the ESL orientation to register. (See New ESL Student Flow Chart)
  5. If the student is returning to ESL within one year or less (Example: student registered for classes for fall 2015and is returning for fall 2016) the student registers in Advising on the paper registration form during the registration period. Levels 4-6 can register online with an entry code.
  6. Currently enrolled students register for the upcoming quarter in class at the end of the current quarter. If students are absent that day, they can register for the upcoming quarter in Advising only after grades are posted for the current quarter.
  7. ___Check the grade earned for the last quarter in which the student took classes. If it is a “Y” the student must retake the same level of ESL classes. (Example: ESL 011 “Y” grade, student must retake ESL 011.) If the student earned an “S” grade, the student passed that level and can advance to the next level of ESL classes. (Example: ESL 011 “S” grade, student advances to ESL 012.)ESL students may begin receiving decimal grades fall ’16. This document will be updated once information is available (after 9/25/16). ESL students may have direct placement into college level English courses upon successful completion of the ESL program. Information will be updated when it becomes available.

Core ESL Classes:The “core” ESL classes include reading, writing, speaking, listening and grammar and are required in order for daytime students to move to the next ESL level.

Skills (Supplemental)ESL classes:Within eachESL class level there are skills classes. Completion of skills classes does not advancedaytime students to the next level. Passing the “core” classes advances students to the next level. The supplemental classes are: Focus on Writing and Speaking and Listening. ESL levels A and B have the same supplemental classes. (Example: a student in ESL level 011 is eligible to take supplemental ESL classes 015 and 016. A student in ESL 012 and 013 would also take supplemental ESL classes 015 and 016).

Pronunciation Classes

ESL 075, English Pronunciation 2: Prerequisite: placement into ESL 2, 3 or 4.

ESL 078, Advanced English Pronunciation 2: Prerequisite: placement into ESL 4, 5 or 6.

Vocational Classes ESL 058, 059, 069 and 083:

There are two or three sections of a vocational ESL medical terminology class and an ACCT class.

  • ESL 058 English for Business and Accounting Preparation is for levels 4B-6B (4A w/instructor permission).
  • ESL 059 and 069basic skills coursesfor students in the I-BEST Nursing Assistant-Certified (NA-C) program, the I-BEST Phlebotomist Certificate program, I-BEST Accounting Bridge or Healthcare Bridge (4A-6B)
  • ESL 083 ESL College Bridge (scholarship recipients); Strategic Learning in a Content Area: This course is designed to support strategic learning in a college class. Students are enrolled concurrently in the college class and ESL 083. Students will learn study skills and strategies that will help them be successful in the content class.
  • ESL 039 IDEA: 18 credit course with laptop, Level 1-3, especially 1B/1C – 3A as a starting point. The curriculum runs three quarters and students can begin in any quarter and cycle through. Each quarter is technically a different course, though they share the course number. When student completes or exits the series, they are reassessed to determine appropriate placement in traditional ESL program.
  • Note:Students requesting the I-BEST NA-C, Phlebotomist or ACCT sections of ESL 059, 069 & ESL 083do not register in Advising. They register with the I-BEST Coordinatoror ESL faculty. Advising can register students for the healthcare course, IDEA and business and accounting preparation.
  1. ___ Work with the student to pick the appropriate classes.
  2. ___ Complete both the front and back of the registration form (levels 1-3). ESL students are not required to answer the questions regarding citizenship, residency or military service on the registration form.
  3. ___ Sign the form and have the student sign the form. The student takes the registration form to the Registration Office and turns it in. The student is given a class schedule and directed to pay tuition at the Cashier’s Office by the payment deadline.

Waiting List: ESL students utilize the automated waiting list in the same manner as all NSC students.

Note: In the past we have kept students in their spring quarter levels for summer quarter, and then moved them up for fall quarter.Students will now move up at the end of spring quarter (if they have passed). They will take summer quarter classes in their true levels. To move up for fall quarter, a student needs to:

  • Register for both the Focus on Writing and Speaking and Listening summer supplemental classes.
  • Receive a grade of 90% or higher in both classes.
  • Then, after getting his/her summer Focus on Writing teacher's permission, take the ESL placement test again.
  • The placement readers will then determine if the student can move up a level for fall quarter.

Scenarios

  1. A student asks, “Can I retake the ESL placement test to try to advance to a higher level?”

Answer: ESL students are allowed to take the ESL placement test once every 12 months (unless they obtain instructor permission).

  • Check the SD 1002 screen to determine when the student took the test. If it has been 12 months or longer, refer the student to Admissions/Registration to sign up for a walk-in ESL test. If it has been less than 12 months, advise the student that they can only retest with written permission from the instructor for their class level.

  1. Student is referred to Advising (during orientation, etc.) to obtain their ESL level.
  • Check the Adm Num field in the SM 2001 screen. Notice that this student is placed into ESL 031.

  • If the Adm Num field in the SM 2001 screen is blank or does not show a level, check the SD 1002 screen. Students who tested in August 2010 and later will have an ESL placement in the SD 1002 screen corresponding to their ESL level. Notice this student placed into ESL 051.

  1. Student has an ESL hold on their account in the SM 5003 from the Basic and Transitional Studies Division.Students who did not take the CASAS test in class prior to the end of the current quarter will have a hold placed on their account in the SM 5003 screen and they will not be able to register for the upcoming quarter until they take the CASAS test.
  • Refer students to the Basic and Transitional Studies Division. Once the test is complete the Basic and Transitional Studies Division will remove the hold from the student’s account.
  1. Student is not satisfied with their ESL placement.
  • Refer the student toJim Eaton or Curtis Bonney in the Basic and Transitional Studies Division.
  1. Student inquires about tuition assistance.
  • Refer the student to Workforce Education first, for potential funding, or to the Basic and Transitional Studies Division, or advise them to talk with their teacher about the ESL scholarship.
  1. Student has repeated the same ESL class three times and wants to take the class again.
  • Refer the student to the Basic and Transitional Studies Division.
  1. Student tested within the last year (check SD 1002) but missed the orientation (EIC) for the previous quarter (or missed their assigned orientation for the upcoming quarter) and needs to attend an EIC for the upcoming quarter.
  2. If the student needs to sign up for another orientation date/time you can refer them to the Testing Center to sign up for the alternate orientation session, or you may register them for an alternate orientation session. If an Advisor registers the student for an alternate orientation, ask the lead ESL Advisor, or ESL support Advisor, for a new orientation letter to give to the student.

Note:If student cannot attend anyof the ESL orientation options, he/she may register for classes directly with an ESL Advisor (as a last resort, after offering all of the remaining dates/times). Advising needs to have the student complete a WABERS form if they register students in lieu of an orientation. Give the WABERS form to the lead ESL Advisor to be sent to the BTS division.   • If the orientation dates and item numbers are unknown, confirm the students address in HP 3000. Write down their name and SID and give it to the leadESL Advisor. The lead ESL Advisor will register the student for the EIC (using the paper registration form) at ARRC and assure the student is mailed a letter once they are available.
