Job Description: Office Manager

Location: St John’s Church of England Primary School

Pay Grade: H7

Purpose of the Role: To Manage the administrative and finance function within a School

Responsibilities:

Ø  Plan, develop, organize and monitor support systems and procedures

Ø  Contribute to the development of administration policies

Ø  Provide support, advice and guidance on administrative issues to Senior Staff, Governing Body and others

Ø  Liaise with other staff, pupils parents and carers and external agencies

Ø  Develop and maintain recording and information systems including personnel staff.

Ø  Undertake analysis and interpretation of data and produce detailed reports and complex information

Ø  Operates bespoke School information systems

Ø  Responsible for completion and submission of forms, returns, etc. including those to outside agencies

Ø  Produce and respond to correspondence

Ø  Responsibility for petty cash and banking of cash

Ø  Arrange for payment of invoices for stocks, including checking supplier statements

Ø  Allocate work to administration staff

Ø  Manage / supervise administrative staff

Individuals in this role may also undertake some or all of the following:

Ø  Manage the Schools financial processes and budgets i.e. collate VAT returns and payments

Ø  Monitor service contracts, school licenses and insurance

Ø  Contribute to marketing and promotion of the School

Ø  Manage lettings and the use of premises for the use of outside organisations and local community

Ø  Coordinate, purchase, repair and maintenance of furniture and fittings

Ø  Responsible for effective operation of payroll system

Knowledge
Knowledge of administration policies and procedures
Good knowledge of ICT packages and systems (word, power point, Excel, SIMS, FMS)
NVQ level 4 (or equivalent) in business and administration
Working at level 1 of the NASBM professional standards
