RESPONSIBLE FOR:-

Job purpose: To assist in the operational management of the College’s Student Records database ensuring the timeliness and accuracy of the data. To work closely with other staff in the College and contribute as necessary to all CIS operations.

Key duties:

Database Management

  • To update and maintain electronic student records, taking responsibility for accuracy and timeliness of the data;
  • To liaise with College staff on issues relating to Student records;
  • To assist in the production of management and student information for report purposes;
  • To co-ordinate the production and distribution of personalised CIS documentation;
  • To assist in the operation of admissions, enrolment and re-enrolment.
  • To assist with Exam administration and help with the implementation of Exams
  • To utilise SQL programming to interrogate college databases.

External Funding

  • To assist in the day-to-day operations necessary for the production of the ILR;
  • To assist in the production of information for Audit purposes.

Other duties

  • VLE administration (eg Moodle)
  • Take responsibility for promoting and safeguarding the welfare of children and young people.
  • To ensure adherence to Health and Safety Legislation and guidelines;
  • To participate appropriately in the College Appraisal Scheme;
  • Any other duty or responsibility which might reasonably be required by the Principal:

6BACKGROUND TO COLLEGE INFORMATION SYSTEMS AT TRC AND THE REQUIREMENTS FOR THIS POST

The CIS [College Information Systems] Department is responsible for the processing and production of all management information in the college, including examinations administration, college timetables and the production of student record information including the ILR [Individual Learner Record]. There are currently five other members of the team. All the team work very closely together and take pride in providing an efficient and user-friendly service for the college.

At the present time, the CIS Department is absorbing and managing significant changes to college provision, and the management information systems needed to support this, both internally and externally. CIS uses Capita’s UnitE Suite of software. The team provides the necessary information for the smooth running of the College and to aid student achievement. CIS rightly prides itself on the service it provides, the accuracy of which is all based on the data inputted. The Administrative Officer will be expected to undergo any necessary training [mainly in-house] in order to be able to manage the appropriate sections of the software but experience of working with other relational databases would be an advantage.

CIS is a very busy Department but the team enjoys the challenge of providing accurate and timely information for the entire College. Hard work is vital but there is a very cheerful and supportive team who work very flexibly in order to complete a very demanding role. The need for this post has arisen from the increased, and increasingly complex, workload required from the whole Department. It is certain that the demands on CIS will increase during the next few years – hence this is a permanent post, and offers good prospects of career development for the right person.
