TENDER NOTICE

REF: HPF/SMTA/Canteen/2012-13 Date: 27.07.2012

To

  1. M/s. Hindustan Photo Films Mfg. Co. Ltd, Ootacamund invites sealed Tenders for ‘Running Industrial canteen at HPF Ootacamund’.
  1. The tender documents can be obtained on payment either by cash remittance in our cash section or through bank demand drafts drawn in favour of Hindustan Photo Films Mfg. Co. Ltd., payable at SBI Indunagar for an amount of Rs. 1,000/- Those who intend to obtain the tender documents by register post have to send Rs. 60/- extra towards postal charges.
  1. The tender documents can also be downloaded from the Company’s website . However the completed Tender Documents thus downloaded shall be submitted along with Demand Draft for Rs. 1,000/- as document fee.
  1. The tender documents will be available for sale at HPF canteen office on any working day between Monday to Friday from 27.7.2012 to 10.8.2012 only.
  1. Tender document shall be submitted in the following format
  • Schedule of contract.
  • Terms and conditions
  • Copy of Experience certificate
  • Copy of income tax certificate
  • Earnest money deposit (EMD)
  1. The Tender document shall be sent to the to Senior Manager – Technical Advisor to CMD on or before 10.8.2012, 3.00 PM. The name of the work and tender notice number should be clearly noted on the sealed cover.
  1. The tenders will be opened on 10.8.2012, 3.30PM by the authorized Officers of the Company
  1. If the tender is made by an Individual, it should be signed with full name and his address shall also be given, if it is made by a member of the firm, who shall also sign his own name and shall give the name and address of each member of the firm. If the tender is made by a corporation, it shall be signed by its duly authorized officer before the agreement is executed the corporation may be required to furnish evidence of its corporate existence.
  1. On acceptance of the tender, the tenderer shall enter into an agreement with the Company before the specified period as requested by the Company. Failure to do so shall entail forfeiture of the Earnest Money deposited by the tenderer.
  1. The bidders may visit our canteen for understanding the scope of work on any working day between Monday to Friday with prior intimation before submitting their tender.

TENDERER

TERMS AND CONDITIONS

  1. Contractors shall have a minimum of three years of experience in running Industrial canteen catering more than 500 persons. Necessary experience Certificates shall be enclosed. Tenders submitted without experience certificate will be rejected.
  2. Copy of Income Tax returns for past 3 years should be enclosed.
  3. The contract period shall be one year.
  4. Payments will be made once in fifteen days on actual quantity consumed only.
  5. The quoted rates shall be inclusive of all taxes and statutory charges.
  6. The contractor shall pay an Earnest money deposit (EMD) for Rs.50,000/- (Rupees fifty thousand only) either by cash remittance in our cash section or through bank demand drafts drawn in favour of Hindustan Photo Films Mfg. Co. Ltd., payable at SBI, Indunagar ( The same will be refunded to the unsuccessful tenderers) If successful bidders fail to take-up the contract, they will forfeit the EMD.
  7. The successful contractor should submit an amount of Rs. 3,00,000/- (Rupees Three Lakhs Only) as security deposit. The security deposit amount will be refunded after the contract period without any interest.
  8. Company shall provide process water and drinking water free of cost
  9. The contractor will be allowed to utilize the centralized kitchen facility which includes fixtures, fittings, furnitures and utensils free of cost.
  10. The Contractor and his staff may utilize the accommodation available at the canteen premises free of cost.
  11. Canteen should be opened for services round the clock on all working days including Saturday and Sunday and holidays.
  12. The contractor should maintain sufficient quantity essential commodities of good quality for continuous canteen services round a clock in all days.
  13. Well experienced Cooks should be engaged for preparation of food items.
  14. All food preparation are to be made hygienically meeting standard quality and acceptable taste.
  15. The contractor should employ adequate staff to ensure prompt and proper services.
  16. Supervisors should be available in the canteen to manage and supervise the services.
  17. The contractor should provide all his staff with proper uniform and Photo Identity cards.
  18. House keeping should be carried out by the contractor in the canteen service areas.
  19. The contractor should procure fuel, fire wood for operating the boilers at his own cost.
  20. The cost of Electricity consumption should be borne by the contractor.
  21. The contractor should make his own arrangements for transporting food items as per requirement.
  22. In the event of any breakdown of water /other utilities, alternate arrangements should be made by the contractor.
  23. The contractor should follow all statutory regulations with regards to works’ men compensation act, catering establishing act, employment of children act , employees state insurance act and other regulations in force and amended from time to time as may be applicable.
  24. The successful contractor should able to run the canteen services immediately.
  25. Company reserves all rights to accept /reject tenders without assigning any reasons.
  26. The tenderer has to read the above terms and conditions and has to agree the same.
