Office Administrator

Class Of Their Own provide Breakfast, After School, Holiday and Party services for children aged 4 – 11 in Brighton, Hove, East and West Sussex. Due to company expansion, a new role has been created for an organised and flexible Office Administrator to join the company’s head office in Hove.

Rate of Pay: £9.30 per hour

Hours of Work40 hours per week. Monday–Friday between 7.30–4.30pm/9- 6pm

Role Overview

We are looking for an individual to join our small, friendly administration team to fulfil the administrative functions of running After School, Holiday and Breakfast Clubs.

Full training programme is available for the person with the right skills, qualities and experience to fulfil this role.

Aim of role

To work as part of a small, close knit team toensure the company’s administration is completed in an accurate, timely manner. To provide an excellent level of service by email, telephone and face to face to parents.

Duties

  • Process weekly paperwork from Breakfast, After School and Holiday Clubs
  • Create half termly Breakfast and After School Club invoices
  • Enter bookings onto company databases
  • Produce accurate registers using database
  • Respond to enquiries by telephone, email and face to face
  • Enter payments on the company’s database
  • Process credit card, cheque and cash payments
  • Monitor waiting lists and allocate spaces as they become available
  • Undertake administrative duties in all areas of the company’s business e.g. typing up notes, printing, laminating, creating folders, folding letters/flyers
  • Maintain a clean, tidy and professional environment in the office
  • Support club teams as necessary
  • To willingly carry out other duties as requested

Person Specification

Qualifications, experience and personal attributes

The successful applicant will have most of the following:

Experience

  • Experience of managing a diverse workload in a busy office environment
  • Familiarity and confidence in using Microsoft Office programmes, databases and accounting systems
  • Two years’ experience of delivering excellent levels of service to customers by phone, email and face to face.
  • At least two years’ experience of working with others to contribute positively to a small team
  • The ability to use own initiative to resolve issues
  • Two years’ experience of working in an environment requiring attention to detail
  • A professional telephone manner, with excellent written and spoken English skills
