Details of activities for Submission of bids for designing and construction of APEDA-MFPI PAVILLION AT AAHAR 2009

to be held from 7th to 10th March 2009

Eligibility for submission of bids

The agencies having at least 5 years experience in conceptualizing, designing and executing the projects on turnkey basis for setting up of pavilion/s in trade events.

Requirement

APEDA in association with Ministry of Food Processing Industries (MFPI) is participating in the forthcoming AAHAR, 2009 Exhibition to be held at Pragati Maidan, New Delhi. Total area of the pavilion is 1500 sq. mtr. (plan enclosed). It is a 2 side open pavilion in Hall No 18.

The theme of this year’s exhibition is “Processed Food ….. Setting Global Benchmarks”.

APEDA proposes to engage an agency to undertake the following activities for the event:-

  1. The design of the pavilion should consist of a theme area that would showcase APEDA/MFPI’s activities in the field of Processed foods.
  1. The theme area should have space for theme product display. The graphics would have to be designed in consultation with APEDA-MFPI.
  1. The pavilion would have about 30 built-up booths for APEDA-MFPI constituents. Each booth would be of 9sqm. area, preferably all booths 2 sides open.
  1. Each built –up booth would have the following standard furniture:

One round table

5 Chairs

4 Spot lights

4 Shelves

One Power Point

Carpet & Fascia

One Waste Paper Basket

One Counter

In addition, the agency should be able to provide additional furniture items as required by the exhibitors at reasonable extra cost to be paid by them.

7 The pavilion would have VIP lounge, a business lounge, office, store, pantry and open meeting areas.

8There should be provision for audio-visual (plasma/projection) show in the pavilion as well as in the business lounge.

9The Business office should be equipped with computer with printer telephone, fax, internet and photocopier.

10The pantry should have coffee/tea dispenser, water dispenser, soup vending machine with attendants

11The agency would provide for 30 packed lunch, snacks and soft drinks on all the days.

125 no. hostesses and 6 no. security guards in each shift would have to be provided by the agency.

13The agency would have to undertake the landscaping along with maintenance cleaning and fire protection of the pavilion for the entire duration of the exhibition

14The agency would be given the assignment on turnkey basis-from designing & fabrication, maintaining & managing the pavilion upto dismantling. The agency would also be required to coordinate with the APEDA-MFPI constituents with regard to setting up of individual stall and their additional requirements if needed.

15The design so proposed, should be as per the requirements of ITPO.

The concept should include the layout plan and 3D view of the same.

You are requested to submit the sealed technical and financial bids in separate envelopes by 28th Jan. 2009. The cost of each activity mentioned above should be mentioned separately in the financial bid and the activities should not be mixed up and quoted in lump sum. The selection committee in APEDA will carry out a preliminary screening of the applicants to shortlist a panel for presentation which will lead to selection of the agency. The financial bids of only shortlisted applicants would be opened. Selection will be based on weightage system of technical and financial evaluation by a committee. Seventy percent weightage would be given to technical part and thirty percent weightage would be given for financial part. The calculation of score for financial quote, would be based on he following formula:

L1 = 30 marks

L2 = 30XL1 and similarly L3, L4 ------(depending on no. of parties)

After adding up the scores obtained in the technical competence and financial quote, the agency which secures the highest marks (H1) will be awarded the project for event management.

APEDA reserves the right to accept or reject any proposal at any time prior to award of contract/order, without assigning any reason and without any liability for APEDA.
