Introduction

On 23rd April 2013 a number of new features and changes to existing features were made to the Revalidation ePortfolio. This guide explains what these changes are.

File Size restrictions

The amount of data each user can store is now restricted to 30mb for an appraisal year and 10mb for each file. The amount of data used is displayed to users in the file viewer. If the quota is exceeded it will not be possible to add any more attachments into the ePortfolio. To assist users in knowing how big their attachments are, a file viewer has been created. The table shows the name, location and size of the file. If a file is to be deleted, please visit the location, open the item that has the attachment and delete it. It is recommended to include those attachments that are most pertinent for the Appraiser to view.

Pre-Appraisal Documentation

The pre-appraisal documentation is no longer available to Appraisers until it is ‘published’ using the button at the bottom of the form. The form will be in draft initially and will be visible to Appraisers either after publishing or once it is submitted.

It is now possible to switch between the full landscape view of the PDP section via an expand/collapse link and the summarised view in popup window.

PDP

The emphasis of ownership of the PDP and its outcomes is now with the GP who will set the outcome. PDP items are ‘proposed’, when initially created, and ‘met’ when they have been achieved, ‘Partially met’ when they has been partially achieved, or ‘not met’ if they have not been achieved.

They can also be discarded and, if they are partially met and the Appraisee would like to continue achieving the PDP during the next appraisal year, they can be set to ‘Partially met and move to next year’, which will keep them in the current PDP when the next appraisal year is opened. An outcome must be made prior to submitting the ePortfolio to the Appraiser. It will not be possible to submit without making the designation. The outcome can be discussed with your Appraiser and once your Appraiser has confirmed the outcome, the PDP objective will become read only.

Colleague (MSF) and patient feedback (PSQ) invitations

The Appraisee can now send bulk patient and colleaugue questionnaire codes to their nominated person for hard copy handouts which means that they no longer have to send a separate e-mail for each questionnaire to generate a code for the uploading of the responses. The questionnaires will still be completed individually and the representative will enter the same web address with a different code to complete the individual questionnaires.

Downloading the ePortfolio

The link to download an ePortfolio goes to a new section where a .zip file containing the information held in the open appraisal year can be downloaded. If information is expected to be there and isn’t, please use the regenerate button to regenerate the creation of the .zip file.

CPD Table

The CPD table now includes a column displaying the impact:

Area 12

The guide for Appraisees to complete something for Area 12 has been set to 0 on the dashboard and the colour is now grey.

Passcode and PIN reminder

If a performer has been allocated to a PCT and they do not know what their Passcode and PIN is, they can have those details emailed to them by pressing the Retrieve PIN and Passcode button.

A colour key added below the dashboard to make for easier tracking of progress at a glance:

Your Professional Roles/Scope of practice

This area has been changed from ‘Your Professional Roles’ to ‘Your Professional Roles / Scope of Practice’ and reflections can be added for each role.

Appraiser auto-allocation removed

When an appraisal year is accepted by an Appraisee, the Appraiser is no longer re-allocated and the PCO administrator will be required to allocate an Appraiser to an Appraisee in order that the Appraisee can submit their Appraisal information for the next appraisal.

Probity / Health / Insurance

Appraisees can now select ‘No’ in the probity and health declarations in Area 1.

Joint appraisal sessions

In Appraiser mode, “Switch roles” is now disabled when a joint appraisal session has been started.
