Terms of Reference for

OFFICE STAFF/EXECUTIVE

1.  Job Title:Office Staff (Office Executive-Level 6 Staff)

§  Primary Reporting Authority: Admin and Logistic Specialist(Level 5 Staff)

2.  Staff who will Report to

§  Office Support staff, MLSS, Driver, Security Guard

3.  Deliverables

§  Monthly Activity Report

§  Reports/Letters or any other activities as assigned by the Superiors time to time

§  Annual appraisal of staffs under him/her

§  Service delivery as per functional responsibilities

4.  Functional Responsibility

§  Assist ‘Admin and Logistic Specialistin providing secretarial support to CEO

§  Help ‘Admin and Logistic Specialist’ in providing all types of logistic support and in maintaining office equipment and furniture.

§  Carry-out day-to-day administrative activities

§  Maintain office files, records registers and documentation of official records.

§  Draft all kind of letters, reports and perform all sorts of official correspondencesboth in Bangla and English.

§  Assist in preparing tour, training & other office orders, attendance document and other relevant document.

§  Manage monthly activity reports, leave records, service contracts of BdRENstaffs and consultants.

§  Provide assistance and all necessary support in procuring goods/stationaries and in keeping records of procured/received goods/stationaries.

§  Works as Store-in-charge for BdREN

§  Receive and dispatch of applications, reports letters and keeping records of all incoming and outgoing letters/reports.

§  Attend phone calls, Checking and replying of mails, receive guests, Communicate with different department

§  Assist in tour and travelling support for the BdREN staffs and consultants

§  Other relevant works assigned by the higher authority.

5.  Desirable Qualifications

§  Educational Qualifications

o  Bachelor’s degree in any discipline

o  Diploma in Office Management will be given preference.

§  Experience

o  At least 01 year practical experience in a large organization of relevant field.

§  Key Competencies

o  Oral and written communication skills

o  Typing skill in Bangla and English

o  Ability to encourage and motivate workforce under the incumbent.

§  Compliance to all Office Orders issued from time to time provided it is not directly in conflict with the contract

§  Compliance to all Policies already drafted or to be drafted

7.  Working Hours

§  From 9 am- 5 pm 5 days a week.

§  7X24 availability on emergency

§  Changeable with respect toOfficeOrder

8.  Additional Requirement

§  Willing to work out of desk

9.  Type of Service: The estimated duration of the assignment is 24 person months. The expected commencement of the assignment is 1stJanuary, 2017. However the duration of the assignment may be increased or decreased according to the requirement of the BdREN component of the projectandperformance of the incumbent which will be reviewed on yearly basis. The ToR would be considered as provisional and will be superseded by a revised ToRapproved by the BdREN Trust.
