COMMUNITY AMBASSADOR ROLE

Role Summary:

HARC Voluntary Community Ambassadors will play a vital role in helping to increase awareness and understanding of the work that HARC does with the general public and donors. They also act as a representative of HARC at events as required and mutually agreed.
Community Ambassadors will help to ‘tell the HARC story’ and maintain relationships with some of the regular donors in the local community.

Main Tasks:

  • Become familiar with the work of the HARC project, what we deliver and the target client group
  • Build and maintain relationships with some of our regular donors such as schools, churches and community groups.
  • Be able to, when required, deliver a brief talk, which engages and motivates the audience about the work of HARC and answer any questions about HARC.
  • Adapt the talk to include new messages or time-specific information as communicated by the HARC Project Manager/Trustees
  • Ensure all donations, and expressions of interest in fundraising and volunteering, are passed back to the fundraising team promptly for follow-up
  • To ensure that information and photos,where possible, are gathered at the event attended, and passed back to the HARC Project Manager
  • To report back to the HARC Project Manager/Trustees after a visit/event
  • To determine whether the organisation would like a follow-up visit (for example to thank the group) and liaise with the organisation and HARC Project Manager to arrange this. To report back to the Project manager with information and photos of the follow-up visit

Skills Required

Essential
  • Aged 16 or over
  • Enthusiastic about the work of HARC
  • Good communication skills
  • Ability to use initiative
  • Confident in responding to Q&A
  • Have worked for on the HARC project for a minimum of one volunteer session as a General Volunteer/Kitchen Assistant or Shift Manager.
/ Desirable
  • Access to a vehicle or public transport.

Induction and training:
All Community Ambassadors will be given a training session with a Trustee and/or the Project Manager. A training pack will be given to all Community Ambassadors containing the information they will need to help them will their role. The Community Ambassador is also invited to attend one HARC trustee meeting to get a flavour of how HARC is managed and to meet the Trustees/Management Team.
Support and Supervision:
A named Trustee and the HARC Project Manager will support the Community Ambassadors. They will receive copies of the minutes of the monthly meetings to keep them posted on HARC activities.
Expenses:
We value our volunteers, and want to ensure that there are no barriers to their involvement. HARC’s expenses policy has the following broad aims:
  • To ensure staff travelling on HARC business are reimbursed appropriately for expenses wholly, exclusively and necessarily incurred
  • To ensure that claims are promptly paid
  • To have a claims process which is consistent with sound accounting practice and the requirements of HMRC
  • A copy of our full expenses policy and an expenses claim form are in the Community Ambassador resource pack

Insurance:
Community Ambassadors are covered by HARC’s insurance policy whilst they are engaged in any activities authorised by the organisation.
Confidentiality:
Working for HARC, you may have access to confidential information regarding guests. The privacy of guests should be respected, and this information should not be disclosed to third parties during or after volunteering for HARC. Volunteers must also be mindful not to disclose any of their own personal information to guests for the duration of the project.
Resolving problems:
HARC is committed to resolve any problems a volunteer may have openly, fairly and quickly to protect them, and to minimise disruption to service users, other volunteers and staff within the organisation. If you have an issue please contact the HARC Chair via written email.

Additional Information

  • The busiest time is November/December when lots of groups choose to support HARC by raising money at an event.
  • We can make the role suit you, you can choose the amount of time you wish to dedicate to the role from a couple of hours each month to much more!
