Children and Young People’s Summer Activities 2015

GUIDANCE NOTES

Castle Cavendish aims to support the vibrant communities of Area 4 which covers Arboretum, Dunkirk & Lenton and Radford & Park. One way of doing this is to provide dedicated funds, along with City Council grant, to enable community and voluntary sector groups to deliver activities that will help benefit local people and contribute towards improving people’s quality of life.

The following notes are aimed at helping you complete the Area 4: CYP Summer ActivitiesApplication Form.

The Application Form will probably have been sent to you via e-mail. It can be filled inelectronically or by hand. If you are completing electronically, please send a scanned version of the signature page, or forward this page by post. If you are completing by hand then please use black ink.

  1. Contact Details

We may need to contact you to gather extra information so the main contact should be someone who understands the application and is able to speak on behalf of the organisation/group.

Organisation name

Enter the name of your group as it appears on your governing document. A governing document may be a constitution or a set of rules if you are a new or informal group.

2.About your group/organisation

Type of group

Please tick the box(s) that best describe your group, plus the charity number or company number if relevant. Please provide a copy of your governing document if you have not had funding from us before – i.e. your constitution. It should be noted that any governing document must have a dissolution clause within it to explain what would happen if the group closed or wound up. This is because we would need to know what would happen to any money or equipment purchased by the group from a grant that may be made to you from this application in the event that the group is closed or wound up. You will need to send in a signed and dated copy of your governing document with your application form.

What does your group do?

Describe what your group does and the usual projects or activities it provides. This may be different from the activity that you are apply funding for, but should be within the aims and objectives of your group.

3.About your project or activity

Describe the project/activity you require funding for.

Use the key words of who, what, when, where and why to tell us about your project or activity and why it is needed.If possible include times and days when you will be running your project or activity. You also need to provide evidence as to how you know there is a need to this project.

Please note we will not support political or religious activities or funding of alcohol related projects.

Project start/finish dates.

Provide dates when your project will start and finish. Please note we cannot help with projects which have already taken place.

Address of venue where project will run from.

Please clarify even if it is the same as the group’s address identified on page 1.

Who are you targeting and how many people will benefit from project/activity?

Castle Cavendish aims to support the communities of Area 4 so it is important to be as specific as possible with the number of people who will benefit that are from Area 4 and also whether you are targeting any specific ethnic or minority groups.

How will you promote and publicise your project?

Please describe how you will let local people know about your project. This could be by displaying posters in the local community or advertising on a local radio station. We require that your group acknowledge the Area 4 Fundingand include the Castle Cavendish logo on publicity material. A copy of the logo can be obtained from us.

4.Criteria

Any grant application for Area 4 Funding will need to demonstrate that it matches up to our criteria. Please ensure that the information provided illustrates how your project or activity meets the criteria listed below:

Key Assessment Criteria for CYP Summer Activities Programme 2015:

Takes place between 1st July – 14th September 2015

Provides direct benefits to local children and/or young people within Area 4 (N.B. Your project / event can be open to people outside the area, but we are interested in value for money with reference to numbers of people from within the area).

Is responsive to the needs of the local communities

Involves local people in its delivery

Embraces diversity and equality

Has a positive impact on the environment

Demonstrates Good Value for Money

5.Funding

Maximum Grant

You can apply forup to £1,500, but you can apply for less. If your project will cost more than this then you need to show where you think the rest might come from.

Eligible Costs

The Area 4 Fund will support:

the direct cost of delivering the project or activity, such as promotional material, cost of sessional workers, room hire etc…

a proportion of the group’s overheads related to the project or activity, such as accommodation, heating/lighting, stationary etc…

a small contribution to the management costs associated with the group/organisation

You must show how the money will be spent by giving a breakdown of the items/services you wish to purchase with the grant should you be successful. Enclose quotes for any single item of equipment over £200.

A more detailed breakdown of costs may be sent on a separate piece of paper which would strengthen your application and help us to deal with your application more speedily. When your application is assessed we will look to see that the costs are realistic and will enable your activity to be successful.

Match Funding

Please tell us about other contributions that you are expecting to receive for your project or activity. Remember to include both financial and “in-kind” contributions.

  • A direct financial contribution could include grants, membership fees, your own funds etc…
  • An “in-kind contribution”is where you are lent or donated an item that you would otherwise have to pay for. For instance, volunteer time, venue, loan of equipment.

6.Finance Information

This information needs to be provided with the application, unless you have had funding from us in the last two years and nothing has changed.

Annual Accounts

Established groups need to send a copy of their annual accounts showing the level of any reserves. If this is not possible groups need to include a cash-flow forecast for a set period of 6 - 12 months.

Groups with their own bank/building society account.

Groups with their own bank account need to send a copy of their lateststatement.They also need to indicate how many signatures are needed to authorise a cheque. This would normally be at least two people; who are not related.

Groups with their own building society account need to send a copy of their building society passbook transactions.

If you are a new group and currently applying for a bank/building society account and have not yet received a statement/passbook you will need to provide confirmation of the new account.

7.Declaration

Please check the application form and read through these guidance notes carefully before signing.

Please note the requirement to participate in Castle Cavendish’s summer event on 4th July. If this will be a problem, please let Miriam know.

8.Checklist

Please double check that all relevant documentation will be readily available on request if you are successful, as copies of this will need to be received before your grant can be awarded.

Application Form

Please ensure that you retain a copy of your application form, especially if you have sent us a hand-written original.

All successful applicants will be expected to participate in a monitoring process which will include a project visit from a member of our monitoring paneland also to complete progress reports on their projects.

Please provide any additional information, such as letters of support, photographs testimonials, etc. which you think may strengthen your application.

Deadline for Submission

The final deadline for applications is Wednesday 14th April 2015.

However, we would like to ensure that when the applications go to the decision panel they are of a high quality with no outstanding queries, in order to save you unnecessary work and disappointment. With this in mind, if you wish to get a draft application to me earlier, I can comment by phone, email or face to face meeting – just ensure it is marked ‘draft’ in some way, and indicate how you would like me to respond, e.g. suggest a date when you can meet or a time I can phone you – my usual office hours are Monday & Thursday 9am-3pm and Tuesday & Friday 9-11am, although I can often do other times including evenings and weekends if necessary.
