1.  Overview

This section shall give an overview of the system explaining why it is required, and what is required of it. It shall contain the following sub-sections:

a.  Background
(e.g. Study type, nature, etc.).

b.  Key objectives and benefits

c.  Main functions and interfaces.

2.  Operational Requirements:
This section shall state the operational requirements - system functions, data, and interfaces, defines the environment in which the system must operate. Critical requirements shall be specifically identified as such. Process descriptions or flowcharts may be included as appropriate. The following sub-sections shall be included:

a.  Data:
This sub-section shall state the data handling requirements. It should address the following:

i.  Description of the data. It includes identification of critical parameters, valid data ranges and limits.

ii. Capacity requirements

iii.  Access speed requirements.

iv.  Archive requirements

b.  Interfaces:
This sub-section shall define user entry system interfaces. It shall contain the following sub-sections:

i.  Data Entry Screen. This should define the I/O interface and/or functions as appropriate, layout, formats.

ii. Back-end: back-end accessibility.

iii.  Reporting and selective data view. This includes daily report requirements, data browsing with limited rights and basic query processing system.

iv.  Interface with other systems: e.g. statistical s/w, excel, data import into another format etc.

v. Interface with equipment: (e.g. handheld GPS, Thermal Hygrometer, diagnostic equipment, etc.)

3.  Operating Environment Specifications:
This sub-section shall define the environment in which the system is to operate. It shall contain the following sub-sections:

a.  Operating System: MS Windows, Macintosh, or Linux, Web based or Desktop, Network.

b.  Physical conditions: (dirty, dusty or sterile environment, high or low temperature etc.)

c.  Compatibility: This shall take into account any existing systems or hardware, and any machine or laboratory strategy.

d.  Constraints: Limited bandwidth, slow internet connection, long distance impact on data transfer, etc.

4.  General Constraints:

This section shall define the constraints on the specification of the system. e.g. Time-specific, resource specific, availability of skilled and experienced staff, space constraints, statutory obligations, legal issues etc.

5.  Training and Support:
This section shall define the training specific requirements for successful operating and maintaining of the system. It shall contain the following sub-sections:

a.  Documentations: What the supplier is expected to deliver (e.g. functional specification, testing specifications, design specifications, user manuals and general guidelines etc.

b.  Training Materials: operating instructions, sample data and files, workable examples etc.

c.  On-site training: Practical training to staff for individual module and functions.

d.  On-line and Off-line support: This required regular support system and annual maintenance requirements.

6.  Delivery:

a.  Installation: on turnkey basis, with setup media (CDs, DVDs), dongles etc.
