Plymouth-Canton Civitan Business Meeting Minutes

October 5th, 2017

Present: Diana MacDonald, Mary Stewart, Bob Anderson, Happy Westmeier, Claudia Sargent, Bill McCarville, Fred Eagle, Carol Chanter, Gail Blucher, Carol Swan, Pat Boyington, Gary & Kathy Turnquist, Bonnie & Al Prendergast, Cheryl Van Vliet, Hal Hultman, Diana Stimac, and Theresa Furget.

Meeting called to order by Diana McDonald at 6:25 PM.

1)Additions & Corrections: Gary added Fall Festival under Funds with 6b. Carol S., added Dixboro under Funds-6f.

2)Correspondence-Diana M.,:

  1. The Club received a thank you card from the North Central District Governor-Susan Bradshaw for the Club’s donation for the Golf Benefit.
  2. Received patches for 2016-2017 for: Recruitment Award, Outstanding Club Awareness (Fourth of July Parade), Outstanding Website and Presidential Visit.
  3. Received notification of the Plymouth Chamber of Commerce Gala Auction.
  4. Received the latest newsletter from Paws with a Cause.
  5. Received the October edition of the Plymouth Community Senior Sentinel newsletter.
  6. Received notice from the Plymouth Chamber of Commerce concerning the Walk of Tree Lottery due on October 30th. Cost is $80 if chosen. Discussed further under 5g.

3)Minutes of last meeting: Gary made a motion and Bonnie seconded it to accept the minutes of 09/07/17. Motion passed.

4)Treasurer’s Report-Kathy Turnquist: Membership is at 42. Currently there’s $23,313.35 in the General account. Candy Box account has $850.83. Taste Fest and Photo Booth will be discussed under 6c. Hal made a motion and Al seconded it to accept the treasurer’s report. Motion passed.

5)Administration-Bonnie Prendergast:

  1. Dinner Meeting October19th: Will be held at Richards in Livonia. Fellowship at 6 PM and dinner at 6:30 PM.
  2. Membership: No report.
  3. Health Report: Cheryl reported that Susan Norfleet is home from the hospital after undergoing testing. Fred reported that he had a cancer spot removed from his scalp and is currently wearing a bandage. Dianne Griswold’s daughter suffered the loss of her newborn. Maureen Posler’s brother in CA, passed away last Sunday due to complications of diabetes.
  4. Plymouth Scarecrow: Cheryl and Hal did an excellent job of putting together the Club’s scarecrow of a Camp Civitan camper in a canoe.
  5. Kensington Valley Club: Cheryl reported the Club is now chartered (it’s a centennial club). The celebration dinner will be held on October 26th (flyer was given out with all of the information) and all are welcomed to attend. Cost is $25. Cheryl sent a signup sheet around. Details will be in the newsletter. Club officers have been chosen: Diana Bolton-President, Thad Bogert-President Elect, Doug Powell-Treasurer and Theresa Furget-Recording Secretary. Cheryl stated that the MI Area is giving the bell, International is giving the banner, and the North Central District is giving the banner stand to the Kensington Valley Club. She stated that it’s customary for the sponsoring club (Plymouth-Canton) to give the new club the gavel. She has ordered the gavel (cost is $35, plus shipping and handling). She would also like for the Club to buy/donate the table centerpieces to be raffled off at the dinner. Hal made a motion and Gary seconded it for the Club to donate $200 to cover the cost of the gavel and centerpieces. Motion passed.
  6. Michigan Area Fall Conference-October 6th-7th-Eaton Rapids: Kathy, Gary, Cheryl and Vivian are attending.
  7. Walk of Trees: In December Kellogg Park is decorated with Christmas trees by organizations. It would cost $80 if the Club is chosen. Items on the trees must be laminated. Kathy thought this machine could be borrowed from Barefoot Productions. Gary made a motion and Mary seconded it for the Club to enter into the lottery (due October 30th), and if chosen, the Club will determine at a later date how much to spend in addition to the $80 fee. Motion passed.

6)Funds-Carol Swan & Holly Evans:

  1. Candy Boxes-Kathy: Doing well.
  2. Plymouth Taste Fest/Plymouth Fall Festival Reports: Kathy went over the figures. After all of the bills were paid, the Taste Fest made a profit of $4,255.26. This was excellent and probably was due to the great weather. The Photo Booth looks like it made a profit of $1,245.56, however, Kathy stated that she hasn’t received all of the bills for a more accurate accounting. Gary made the suggestion of dropping the photo booth at Fall Festival as by his estimate once time and effort is factored in, the Club is only making about $2 per photo. Cheryl stated at this time, there’s still a lot of inventory. Happy made a motion that Gary find a new project to replace the photo booth at Fall Festival. No second was made and this was eventually tabled after the discussion. Suggestions were to get into the Plymouth-Canton Schools for doing the photo buttons at dances. Cheryl stated this was tried in the past, however, the school system would not allow the Club to do this. It was suggested trying with Cooke School since the Club already has a strong tie to them.
  3. Fruitcake-Gary: The fruit cakes (almost 2,000 pounds) have arrived (Auburn Hills) and need to be picked up on Wednesday October 11th at 9 AM. Will need to rent a truck, Mary will see if Sean will loan his pickup truck. Bill and Fred will help Gary.
  4. Carson’s Community Days-Carol: She has 17 selling dates (plus the actual 4 days of the sale) scheduled at Carson’s. The sale is November 8th-11th. The coupons are much better as several of them can be used over and over and don’t have to be surrendered at time of purchase.
  5. Dixboro-Carol: This is scheduled for November 17-19th. The Club will receive 15% of sales when the coupon is used. The coupon will be in the November Newsletter.

7)Service-Gary Turnquist & Bill McCarville:

  1. Cooke School Family-Claudia: This will be for the Thanksgiving and Christmas baskets the Club does every year. She has contacted the school and is awaiting to hear back from the school social worker (who is new this year-as usual). Claudia would like donations of non-perishable items: canned/box goods, paper products and personal items. Donations can be brought to the next dinner and business meetings. Mary made a motion and Carol Swan seconded it that the Club donate $50 for a Kroger gift card for the Thanksgiving basket and a total of $350 ($50, Kroger gift card and $300 for Christmas presents) for the Christmas basket. Motion passed.
  2. Operation Good Cheer-Cheryl: She has 103 kids and is expecting to receive their names/lists by October 15th or 16th to pass out. Wrapped presents must be to her by November 27th and the truck will be picking up the presents on December 1st.
  3. Focus Hope Eleanor’s Walk-October 8th–Kathy: Meet at Costco’s parking lot at 8:45 AM to car pool down to Focus Hope. New craft items are sun visors and pumpkins with googly eyes. In addition, the traditional ghosts will be made, beaded bracelets and coloring. Will be out of there by 1 PM. Signup sheet was passed around.
  4. Focus Hope Food Box Build-October 14th-Gary: Will meet in the Costco parking lot and leave by 9 AM to car pool down to Focus Hope. Afterwards the group will go to Polonia’s for lunch and then the bakery. Signup sheet was passed around.
  5. Special Olympic Halloween Party-October 13th-Bill:Meet at St. John Neumann’s at 5:30 to set up area for the photo booth.
  6. Thanksgiving Packing-November 14th-Diana: The Salvation Army needs volunteers to fill the food boxes, store the left overs and clean up from 10 AM to Noon. Individuals must be at least 15 years old and be able to lift up to 25 pounds.

8)New Business-Diana:

  1. Ron Falkner-Celebration of Life-Diana: Over 40 Civitans participated in the Celebration of Life for Ron Falkner. It was a very moving ceremony.

9)Adjournment: Gary made a motion and Mary seconded it to adjourn the meeting at 7:31 PM.
