Agency Description:

CASA of Tarrant County speaks up for abused and neglected children by training court-appointed volunteers to make recommendations for safe, permanent homes where these children can thrive.

Position Summary:

The Donor Relations Coordinatoris an integral member of the Development Team and plays a key role in supporting the agency’s fundraising efforts. The Donor Relations Coordinator will help the agency achieve fundraising goals through prospect research and analysis, donor cultivation, stewardship, and retention;management of donor records and gifts; planning and logistics; and special events.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

General

  • Develop an active understanding of CASA of Tarrant County’s history, mission, vision, and philosophy, as well as a working knowledge of the agency’s programs and finances
  • Assist in identification and research of prospective donors and help maintain strong relationships with current donors
  • Coordinate and manage the Raiser’s Edge donor database
  • Participate in goal setting, strategy and implementation of the development team strategic plan

Annual Giving

  • Works in coordination with the Chief Development Officer (CDO) to manage in-house events logistics and sponsorships.
  • Coordinates third party events and relationships
  • Works in coordination with the CDO on giving campaigns (i.e. Child Abuse Awareness Month, North Texas Giving Day)
  • Coordinates direct mail campaigns and newsletter communications with the assistance of the Grants Manager.
  • Manages Annual Giving and Monthly Giving Society campaigns with the assistance of the CDO
  • Collaborate with Volunteer Coordinator and other volunteer groups to identify volunteers with the desire and capacity to become financial donors
  • Compile accurate gift record lists as needed for publications, website, annual reports, newsletters, email contact, etc.

Special Events

  • Coordinate with the Development Team to secure event sponsors
  • Manage logistics, including committees, for all special events
  • Manage registration process for all special events and activities
  • Assist in coordination of event details and logistics
  • Maintain accurate special event records
  • Manage existing 3rd party events and identify opportunities for new partnerships
  • Assist with the preparation and distribution of committee agendas, minutes, reports, etc.

Gift Processing

Revenue/Donations

  • Oversee all gift processing activities, including donor acknowledgments; pledge reminders; memorials; honorariums, and any other related activities
  • Create deposits and enter deposit information into accounting software
  • Work with Development Team to increase opportunities for corporate employee giving
  • Assist in the execution of direct mail solicitations and provide timely tracking of direct mail results
  • Create donor reports that identify trends in giving
  • Manage and update donor records on a regular basis to ensure accurate information
  • Ensure appropriate follow through of donor requests for office visits, additional information, or other donor requests
  • Reconcile database records monthly with financial revenue records for the organization
  • Provide timely and accurate reports to Chief Executive Officer, Chief Development Officer, Grants Manager, and other staff as requested
  • Utilize Raiser’s Edge, public data and other prospect research tools to identify, qualify and track prospective donors with wealth indicators and/or capacity.
  • Coordinate with Development Team to manage the annual and monthly giving societies and assist in identifying those annual donors who have capacity to move up the giving pyramid toward major
    gift donors
  • Compile accurate gift record lists as needed for publications, website, annual reports, newsletters, email contact, etc.

Donor Communication

  • Work with the Development Team to create a development calendar and donor relations events
  • Work with Development Team to create communications plans for online giving campaigns, including newsletters, North Texas Giving Day and Giving Tuesday
  • Work with Development Team to create content for donor relations communication, including print, email, and social media
  • Ensure fundraising information on the agency’s website is updated and accurate

  • Represent the organization with professionalism, personal integrity, and a commitment to excellence at all times
  • Participate in planning and implementation of strategic fundraising plan strategies, tactics and outcomes for the agency and development team
  • Assist with tracking of agency progress towards achieving annual goals

  • Ability to speak about the agency’s mission and goals to donors, prospective donors, and community groups
  • Ability to analyze data and use critical thinking skills to identify trends in giving
  • Participate in all staff and program meetings
  • Participate in activities designed for increased volunteer retention
  • Participate in special events and fundraising activities as directed
  • Participate in continuing education opportunities as appropriate

Minimum Qualifications

  • Minimum 2-5 years’ experience in the non-profit or development field
  • B.A./B.S. Degree
  • Knowledge of individual giving strategies and an effective development cycle
  • Experience in successful donor cultivation and stewardship preferred
  • Experience in project and event management
  • Donor management software experience required. Raiser’s Edge database experience highly preferred
  • Strong interpersonal skills, oral and written
  • Highly motivated with ability to take initiative; desire to surpass expectations
  • High knowledge of Microsoft Office products

Physical Requirements and Work Environment:

This position requires the manual dexterity sufficient to operate phones, computers, and other office equipment. The position requires the physical ability to kneel, bend, and perform light lifting. This person must have the ability to write and speak clearly using the English language to convey information and be able to hear at normal speaking levels both in person and over the telephone. Specific vision abilities required by this job include close vision, depth perception and the ability to adjust focus. Generally, the working conditions are good with little or no exposure to extremes in health, safety hazards, and/or hazardous materials. Work is performed in an office setting.
