Main purpose of the job
  • To act as the first point of contact for internal and external queries. This may include providing information on absence, job descriptions, performance reviews andHR policies.
  • To manage all recruitment and develop the IT recruitment system,ensuring the Charity follows compliant and effectiverecruitment practices.
  • Provide a full administrative support service to the HR team.

Essential qualifications
  • Minimum of 5 GCSE or equivalent
  • Level 3 CIPD

Essential skills/experience
  • Knowledge of HR best practice, policies, processes and employment law
  • Practical HR experience specifically relating to recruitment and absence management
  • Previous experience of working with on-line recruitment systems
  • Excellent HR administrative skills and experience of working with HR systems
  • Excellent attention to detail
  • Ability to prioritise and multi task
  • IT literate. Good experience of MS Office and HR databases

Desirable qualifications/experience
  • An understanding of the demands of the voluntary sector
  • Previous experience of implementing recruitment IT systems

Duties
Recruitment and Selection
•Fully support and drive the recruitment process ensuring it complies with the recruitment strategy. Ensure that the HR recruitment practices are always adhered to and are regulatory compliant including DBS checks and right to work.
•Be fully conversant with the recruitment module and utilise it to gain the correct authorisation to recruit, to effectively manage vacancies, conduct CV searches and to create and maintain talent pools.
•Advise managers on the best places to advertise ensuring that we are proactive and innovative in our attraction methods.
•Maintain and monitor SLAs with agencies.
•Ensure that the manager’s recruitment toolkit is kept up-to-date. Devise and maintain an up to date list of competency based interview questions.
•Compile and circulate key recruitment data such as cost per hire, channels most used, time to hire and offer /acceptance ratio.
•Administer the probation process ensuring managers know when review meetings need to take place.
Support for HRBPs
•Provide a comprehensive and proactive admin support service for the HRBPs. Including preparing all relevant support documentation for key meetings such as calibration sessions.
•Collecting and preparing the breakdown of the performance reviews ratings for both summer reviews and end of year reviews.
•Assist in formal meetings, such as employee disciplinary and grievance, undertaking tasks as may be required by the HRBP’s, such as note taking or conducting investigations
•Provide day to day advice to line managers and employees on general HR related queries, requests, escalating more complex issues to the HRBP
•Deputise for HRBPs when required
HR Database and Reporting
•Ensure the HR database accurately reflects current employee conditions and details.
•Leaver administration
•Ensure resignations are acknowledged in a timely manner, the line manager is aware of the process and any outstanding annual leave is calculated in accordance with the employee’s terms and conditions.
Administration
•Carry out general administration tasks for the HR Department, for example; sorting post, telephone answering and devising standard Human Resources documents and letters.
•Respond to reference requests for current or ex-employees in line with our policy.
•Ensure electronic and paper based personnel files are maintained and filing is completed in a timely manner.
•Process invoices, issue contracts of employment, calculate holiday entitlements
•Maintain and update procedures & policies
Job details
Monday to Friday, 9.00am to 5.00pm, contracted hours are 35 per week.
Due to the nature of the work, it may be necessary to exceed these hours when workload demands.
Salary
£22,500 - 25,000 pa
