Board Of Directors Meeting Minutes
December 14, 2017
Directors Present:
Kevin M. Kelly as President
Donald Olson as Vice President
Pat Gabriel as Secretary (Absent)
Loyal Schreiber as Treasurer
Harold Sanders as a Director
Also present was Amy Martin, CAM and several members of the Association. (See sign-in sheet)
Call to order:
The meeting was called to order by Kevin Kelly at 10:30 A.M.
Motion was made by Donald Olson to appoint Harold Sanders to serve on the Hillcrest Board. Loyal Schreiber seconded. All were in favor, Motion Passed.
Motion was made by Donald Olson to elect Loyal Schreiber as Treasurer, Loyal Schreiber seconded. All were in favor. Motion Passed.
Minutes:
Motion was made to approve the Minutes of the Reorganizational Meeting on December 14, 2017 made by Don Olson. Loyal Schreiber seconded. All in favor, Motion passed.
Motion was made to approve the Minutes of the Board of Directors Meeting on October 12, 2017 made by Don Olson. Harold Sanders seconded. All in favor, Motion passed.
Treasurer’s Report: Loyal Schreiber
November Financials were reviewed.
Amy is going to research why there is an overage for trash pick-up.
DAB Report: Steve Heidt
There were a total of one hundred and two (102) requests in the year 2017 and a total of nine (9) requests at the Dec 6th DAB Meeting:
· Neidert, Bonnie – 5986 W. Douneray Lp, replace garage screens, similar color.
· Neidert, Bonnie, same address, paint all trim around home a bronze/brown color, Beechwood Satin.
· Olson, Don – 1530 N. Marlborough Lp. replace landscaping around pool cage area.
· Boho, Charles – 1411 N. Chapel Cross Lp. create a paver walkway from driveway to the backyard.
· McKee, Olan – 1491 Chapelcross Lp. replace section of driveway and sidewalk due to settling.
· O’Conner, Howard & Darlene, 6091 W. Douneray Lp. replace windows in home & new entry door.
· Chesnicka, Joseph - 1431 Chapelcross Lp. repaint home, same color.
· Chesnicka, Joseph – same address, install removable Flag pole in rock circle in front of home.
· Chesnicka, Joseph – same address, remove tree on side of home, damaged by hurricane.
Old Business:
The sidewalks are being worked on at the moment to fix the lifting and cracks.
Kevin Kelly is going to contact the Rep from Smart Collections to see if someone can attend the next meeting to explain more about the contract. Loyal Schreiber requested more information about the prospective agency (fees, process, etc.).
The Road Committee will start back up in spring.
New Business:
Mary Ellen Aliberti resigned from the Board as of November 27, 2017; the Board accepts.
Donald Olson discussed that he and Steve Heidt are reviewing and reconciling the CC&R’s with the DAB guidelines, the process was explained to those in attendance.
Motion was made by Donald Olson to nominate Loyal Schreiber as the MCA Rep for Hillcrest Village. Harold Sanders seconded. All were in favor. Motion Passed.
Motion was made by Loyal Schreiber to add the Meeting Minutes to the Hillcrest website and place the Meeting Agendas on the Community Channel. Donald Olson seconded. All were in favor. Motion Passed.
Motion was made by Kevin Kelly to lift the suspension on Steve Massagee on any Committees. Loyal Schreiber seconded. All were in favor. Motion Passed.
Motion was made by Loyal Schreiber to accept all members to all 2018 Committees (see list attached). Donald Olson seconded. All were in favor. Motion Passed.
Motion was made by Donald Olson to approve the reopening of the Hillcrest Herald. Harold Sanders seconded. All were in favor. Motion Passed.
Motion was made by Donald Olson to approve Sandpiper to refresh the Hillcrest Village signs ($350 for both signs plus tax) and add a sign saying Deed Restricted Committee ($85 each plus tax). Loyal Schreiber seconded. All were in favor. Motion Passed.
The Board is going to put in a request to MCA for this work to be completed with a copy of Sandpipers Insurance; due to the signs being on MCA property.
Motion was made by Kevin Kelly to add an Auto Owners Insurance Umbrella policy for $5 million on top of what the General Liability covers. Don Olson Seconded. All were in favor. Motion Passed.
Villages Services contract will be reviewed and the responsibilities of the Community Association Manager; this will be review and talked about at the January meeting.
The violation on the Commercial truck is still being worked on the Board is trying to decide which way is best to handle this violation; a couple options have been looked into.
Discussion to plan social events in Hillcrest:
· Pot luck supper will be held on January 27, 2018 at the MCA Clubhouse.
Adjourn:
Being no further business to come before the Board, a motion to adjourn was made by Donald Olson and seconded by Loyal Schreiber. Meeting adjourned at 11:46 A.M.
Next Meeting:
The next meeting is the Annual Membership Meeting held on Tuesday January 11, 2018 at 10:30 A.M., location: Meadowcrest Club House.
