Senior Office Support Assistant

DOA – Financial Management

Cole County

Starting Salary: $1,064.00

Job Duties Include:

•  Types and edits a variety of material, which may contain technical or specialized terminology. Reviews documents for accuracy, completeness, and compliance with established policies and procedures. Composes correspondence including some interpretation and application of established policies and procedures; attends meetings and takes notes; and transcribes written and verbal communication.

•  Maintains the Section’s fixed asset records and prepares any documents necessary to transfer fixed assets. Also, this position arranges for periodic maintenance and repair of equipment. This position processes checks for deposit, ensuring all areas of the checks are completed properly, prepares a check log and monitors receipt amounts, notifying section staff when a deposit needs to be processed.

•  Establishes and maintains complex filing systems; prepares and /or oversees the preparation of records for storage and/or archiving; and maintains correspondence and report files.

•  Prepares all necessary documents for the SAM II check cancellation process; including, written correspondence to the State Treasurer’s office regarding lost or stolen checks, check cancellations and check remakes.

•  Maintains calendars and schedules; coordinates meeting logistics; and may arrange travel and accommodations. Specifically this position acts as the assistant to the Fiscal and Administrative Manager of the Financial Management Section of Administration. Maintains the calendar and reminds the manager of appointments/meetings. Also schedules meetings and trainings for staff within the section. Prepares agendas for staff meetings, takes notes and types up the minutes. Also this position schedules interviews when filling vacant positions.

•  Enters, updates, and/or retrieves information; develops spreadsheets and databases. Enters expense accounts and invoices/vouchers into SAM II for payment when necessary. This position also sets up vendors in SAM II, if necessary. In addition, this position monitors the permit and business reply mail postage balances, prepares vouchers to purchase postage when balances are low.

•  Carries out assigned responsibilities with considerable independence and makes decisions concerning work procedures and processes; however, an administrative supervisor reviews significant departures from established policies or procedures.

•  Performs other related work as assigned.

Required Skills:

·  Comprehensive knowledge of office practices and procedures.

·  Comprehensive knowledge of grammar, composition, spelling, and math.

·  Intermediate knowledge of computer information systems and software.

·  Introductory knowledge of the principles of office management and supervision.

·  Ability to type accurately.

·  Ability to apply and interpret agency policies and procedures.

·  Ability to operate standard office equipment – Personal Computer, Calculator, Copier, Fax Machine, Microfilm Machine, typewriter, shredder and label maker

·  Ability to prepare and maintain complex records and reports.

·  Ability to develop and use coding and filing systems.

·  Ability to review documents for accuracy and completeness.

·  Ability to establish and maintain effective working relationships with co-workers and the general public.

·  Ability to make complex computations.

·  Ability to complete assignments accurately within specified timeframes.

·  Ability to develop and implement procedures from general instructions.

Eligibility:

Two or more years of experience as an Office Support Assistant with the Missouri Uniform Classification and Pay System; and possession of a high school diploma or proof of high school equivalency.

OR

Three or more years of experience in office support work; and possession of a high school diploma or proof of high school equivalency.

(Earned credit hours from an accredited college or university may substitute on a year-for-year basis for the required experience at a rate of 30 earned credit hours for one year.)
