Information about the Section / Branch
Shared Services branch provides a front door into the Information Management and Technology Group (IMTG) for business areas seeking advice on business system capability and design services to support:
new policy and major change initiatives program development and delivery
corporate services
business process automation
business process re-engineering
Experts are available to assist you in clarifying your business initiatives and to design processes and technical solutions to support the delivery of outcomes for your policy or program. This could include identifying where current business systems or IT services meet your specific needs and exploring solutions available elsewhere in Government as well as mapping, reviewing and reengineering business processes to identify and reduce duplication and achieve consistency across your area of responsibility.
Currently the branch is providing consultation and co-design services to support the evolution and delivery of major change initiatives like the National Disability Insurance Scheme and Strategic Program Reform.
The branch is also responsible for a range of IMTG Strategic and Portfolio Management activities including:
Development of strategic plans to enable the department to make informed decisions about future platforms for information, applications and infrastructure
Provision of advice to shape emerging whole of government IT initiatives
ICT portfolio reporting, including benefits management, and strengthening of ICT project management frameworks
Relationship management of our strategic and commercial ICT arrangements at the whole of government level
Coordination of the IT investment cycle
Coordination of whole of government ICT reporting activities and entry level ICT recruitment programs.
Description of the Role
The IMTG Portfolio Management Office provides an enabling support structure for all programs and projects within IMTG. We provide standardised guidance including principles, processes and techniques to deliver outcomes within an internationally recognised Project, Programme and Portfolio Management approach. The team also provides assurance to the Chief Information Officer (CIO) and other senior management that the ICT Portfolio in FaHCSIA is being effectively and efficiently managed.
The Section is also responsible for the following bodies of work:
ICT enabled P3M3 assessment and capability improvement plans.
Overarching Portfolio Governance monitoring and reporting
Coordinating the Project Management Community of Practice
Developing and maintaining the ICT Workforce Strategy
Overseeing responses to a number of Whole-Of-Australian-Government (WOAG) requirements
Coordinating the intake and placement of ICT Graduates and Cadets.
NOTE: This is a recently expanded function in IMTG. As such the position will evolve over time as the function matures. For the next 6 - 12 months this role will focus on establishing and strengthening the range of new Portfolio Management initiatives.
Duties / Selection Criteria
Criterion 1
Ability to support the Section across a range of project and portfolio management related activities including:
Collating and quality checking numerous reports and papers.
Coordinating the Project Management Community of Practice.
Provide guidance to Project staff on the range of services available from the Section
Be responsible for a number of specific initiatives such as the CIO Assurance Report to Audit.
Manage the SharePoint and Intranet Portfolio Management sites.
