Minutes of the Pilot Point Association of Owners Finance Committee meeting on September 16, 2010 with Miller Dodson @ 0ne PM.

Present: Gregory S. Gilbert, Edward Kingman, Roger Campbell, Ronald Lee.

The committee met on Friday, September 16 in unit 19 Pilot Point with Gregory S. Gilbert from Miller Dodson.

We started the meeting by doing a very thorough analysis defining what the reserve study should include and exclude. The finance committee did a page-by-page comparison to the 2003 Miller Dodson reserve study.

Gregory Gilbert stated that he would not do a complete re-measurement of the whole complex but he would do spot measurements to verify the accuracy of the previous Miller Dodson reserve study.

Edward Kingman gave a complete summary of all the replacements that have been made since the 2003 reserve study.

Gilbert was informed that there would be five boardwalks replaced over the next five years starting in the year 2011, replacing one boardwalk per year for the next five years

He was also informed that the asphalt would most likely the seal coated within the next three years and, as since the asphalt received a complete mill and overlay overlay about fiftteen years ago, we would not anticipate doing another complete mill and overlay for at least 30 more years. He was also advised that the Council recognizes that the tennis courts, the tennis court fences and the tennis court boardwalks are in dire need of repair. It is the intention of the Council to address these problems

Gilbert was informed that it is also the intent of the Council to proceed with replacing, over a period of time, the cedar shake shingle siding that is currently on the buildings. We hope to replace the cedar shake siding on the west wall of the unit 60 before the winter with hardy plank., a cementitious product and this will be used as a test for the possibility of replacing the entire cedar shake siding in Pilot Point. He also agreed to give us an estimate in square foot of hardy plank that will be needed to replace the existing cedar siding

The community building, downspouts and gutters, fencing, landscaping, signage, and electrical wiring from the boxes to the individual units will be excluded from the reserve study because these items, if needed to be replaced, will be replaced out of current operating funds. However Gilbert did tell us that he will include an estimate for the removal of the community building.

Ed Kingman advised Gilbert that the square footage of the rubber roofs does not appear to be accurate and has requested him to re-measure these roofs.

Gilbert informed the finance committee that his preliminary report should be complete and submitted to L & N within two weeks.
