VOLUNTEER AREAS

The volunteer schedule starts at 8:00 a.m. and ends at 10:00 p.m. You will note that each area has its own schedule within this timeframe. Volunteers are asked to commit to at least a 2-hour shift. Please indicate if you are willing to work more than one shift and write in your 2-hour time preferences below: (ex. 8am-10am-Check-in Area; 4pm-6pm–Clean-up.)

All volunteers should check in at the Front Desk inside the Glover Sudduth Center at least 15 minutes

before the start of your first shift. Minimum age requirement is 16 years.

Volunteers will be issued a Family Day T-shirt upon check-in.

Volunteer Duties and Responsibilities

Set-Up / Be on site pre-event (no later than 7 a.m.) to assist vendors w/set-up of tables and chairs. Distribute the Vendor Area map and direct vendors to assigned booth location.
Facilities / Be accessible to Facilities Coordinator pre-event (8am) to help with equipment set-ups, i.e., fencing, barriers, generators, etc. Help ensure all equipment is accounted for and secured post-event (8-10pm).
Clean-Up / Be accessible throughout the day (including post-event) to help w/clean up. Set up trash receptacles. Empty receptacles as needed throughout the day.
Volunteer/Vendor Check-in / Assist with the check-in and duty assignment of volunteers, according to sign-up chart. Assist with the check-in and booth assignment of vendors according to vendor map. Monitor the vendor pass process and determine the earned points for each completed pass.
Parade / Assist with parade line-up, including placement/marking of unit spaces. Follow the parade route to ensure all units are moving in proper sequence. Communicate with staging area to update scheduled time of arrival to the mainstage. Assist with unit exit and maintain crowd control at mainstage area.
Food Vendor Area / Be accessible to food area, including MUL Guild and YP Concession Stands. Help deliver supplies to vendors. Monitor check-in/checkout status of vendors throughout the day. Take inventory of vendor tables/chairs at check-in and check-out.
Merchandise/Info Vendor Area / Be accessible to the vendor booth area, including the Health & Wellness Gateway and UROC Educational Activities area. Help deliver supplies to vendors. Help distribute and monitor vendor passes and stars. Monitor check-in/check-out status of vendors throughout the day. Take inventory of vendor tables/chairs at check-in and check-out.
Stage/Entertainment Area / Be accessible to stage area. Help w/performance line-up. Deliver supplies to stage. Help direct performers to and from dressing room. Be accessible to staging area (back patio).
Security / Monitor access to GSC Building (performer access pass, vendor wrist band, MUL staff ID). Be accessible to stage area, vendor booths. Secure event perimeter and grounds. Operate golf carts to carry passengers, supplies, etc. Provide security pre-event (8 a.m. ) and post event (8-10 p.m.).
First Aid/Emergency Area / Help set up booth for first aid/emergency services. Dispense water to staff and patrons. Be accessible to First Aid area. Communicate with Main Stage for missing-child alerts or other emergency messages.
Kids Zone / Be accessible to children’s area. Help vendor w/Pony rides. Maintain orderly lines. Distribute and collect tickets for Pony rides and inflatables. Help with the check-in and crowd control for any contests or exhibitions.
Adult Activities / Be accessible to adult activities area. Help organize adult games, i.e., bingo, bidwhist, dominoes. Circulate through the crowd to generate players/teams. Distribute and/or collect tickets for games/raffles.
Teen Activities / Be accessible to the designated teen activity area. Assist with recruiting teens for activities (i.e., basketball) and help register teams if applicable. Help with crowd control for any contests or exhibitions.
On-Call / No specific assignment. Be available to fill in at all areas for at least four (4) hours throughout the day. Be accessible by cell phone to take on-call assignments. Communicate with the Check-in area for on-call assignments.
