Volunteer Role Description: Community Centre Administrator

Purpose of role

The role of the Community Centre Administrator is to provide administration support for the Holywell Community Centre. The Holywell Community Centre hosts a range of events and activities and is seeking a team of volunteers to help support delivery of the service. The Community Centre Administrator will provide excellent customer service for our users and carry out basic administration tasks.

The role

The Community Centre Administrator will:

·  Provide excellent customer service

·  Answer queries and provide information about the Centre both in person and over the phone

·  Assist with data entry and filing

·  Ensure that the reception area is tidy and welcoming

·  Assist with basic room set-up for events and activities

Requirements

The Community Centre Administrator will demonstrate:

·  Excellent customer service skills

·  Confidence in communicating information – over the phone and in person

·  Good IT skills

·  The ability to work well as part of a team

·  Good organisational skills

·  A willingness to undertake training and development opportunities

·  The ability to maintain confidentiality

The time commitment

We ask that the Community Centre Administrator is able to commit a minimum of four hours per week (1 shift), the day and time can be flexible. The role is ongoing and will be regularly reviewed in partnership with the volunteer.

The role will be based at Watford and Three Rivers Trust, Holywell Community Centre, Tolpits Lane, Watford, WD18 9QD

Training & induction:

All volunteers are required to undertake a training as part of their induction programme. This will include an overview of the Community Centre and basic health and safety. There may also be other training that you are required to undertake. All training will take place on dates and times to be agreed in advance with the volunteer and their supervisor. Completion of the training programme is compulsory.

Supervision and support

The Volunteer Community Centre Administrator will report to the Services Co-ordinator. The supervisor will answer questions, provide guidance and monitor performance. Training will be given at the beginning of the placement and will be provided on occasions throughout. At the end of the first month there will be an informal discussion between volunteer and supervisor on progress and support needs. Informal ’one-to-one’ support meetings will then take place at least twice per year and will be in addition to the regular contact and communication that is ongoing between the supervisor and volunteer.
