JOB SUMMARY

To provide all bookkeeping and accounting controls for the trading company, including hand-on work with the Hospitality team.

1.Maintain and improve the controls and reporting timetables for the commercial company financial transactions:

  • Write up and maintain control procedures for key areas of the commercial business, to include cash management, float control, petty cash control, stock management, sales invoicing and other areas agreed from time to time.
  • Design and carryout periodic checks of the control areas above, maintain records of findings and observations.
  • Report cash discrepancies on a weekly basis and alert the Head of Finance and General Manager immediately.
  • Provide monthly management reports to be delivered within agreed timescales showing actual results against budget results.
  • Arrange periodic meetings with the Hospitality Manager, General Manager and Head of Finance to discuss the financial operation and results of the hospitality business.
  • Maintain an overview of the ledger processing, including the creation and input of journals, for the commercial company, validate the entries and provide guidance and training as necessary to other members of staff.
  • Process inter-company charging from the commercial company to other group entities.
  • Ensure month-end trial balances for the commercial company are accurate and completed within set timetables.

2.General financial transactions, reconciliations controls and checks:

  • Maintain the asset registers for all HFC companies, recording acquisitions and disposals, validate the register to the nominal ledger accounts and input regular depreciation journals. Ensure a disposal register and related documentation is maintained.
  • Complete reconciliations of the sales, purchase ledger control accounts to the nominal ledgers for the commercial company and provide details of debtors.
  • Complete monthly journal entriesaccording to the schedules agreed.
  • Keep all necessary records and carryout the necessary annual returns for gift aid claims.
  • Shadow the payroll process, in order to run a monthly payroll if required.
  • Assist as requested in the preparation of the management and annual reporting preparation.
  • To assist in general with any other financial tasks agreed with the post holder.
