Duties / To provide admin support for BFBS Radio;
BFBS Radio Travel Booker
Day-to-day Responsibilities
/ Sort and distribute incoming correspondence and email as appropriate.
Support Manager UK Bases including taking/relaying messages, diary management, receiving/forwarding correspondence and forms requiring authorisation, liaising with other SSVC departments i.e. IT/Finance and be the central point of contact between UK Bases staff and Chalfont Grove.
Prepare, update and distribute weekly grids and RTOs for BFBS Radio 2, BFBS Radio UK Bases and UK Network,
Collate monthly content returns and assist with updating the master document(s) as required.
Identify 3rd party programme availability for broadcast on BFBS Radio 2.
Update Techman for UK Bases and BFBS Radio as required.
Update and monitor BFBS Radio website(s), Promo Planner and Social Network pages (e.g. Facebook, Twitter etc.) in accordance with guidelines provided by Head of Digital .
Provide admin support for and occasionally a presence at, OBs and other BFBS events or activities taking place off-site.
Order stationery and merchandise as required and authorised by BFBS Radio management.
Maintain leave records BFBS Radio and forward to Personnel at the end of each leave year.
Process invoices and staff expense forms for authorisation from line management, in accordance with SSVC Finance Instructions.
Maintain records and diary for vehicles and ensure MOT, servicing and booking appointments for miscellaneous faults are completed in accordance with SSVC Company Car Policy.
Take and distribute minutes as required for internal/external meetings.
Arrange travel and accommodation for BFBS Radio staff travelling on duty in accordance with the SSVC Travel Policy.
Provide cover in the absence of the Programme and Planning Administrator
Regularly review admin processes and identify alternative methods/formats to create efficiency for all stakeholders.
General office administration supporting BFBS Radio activities e.g. answer telephone/email enquiries, sort/distribute post, filing, keeping accurate records, arrange meetings and refreshments, greeting visitors etc.
Maintain the UK Bases Quality Documents and hold all essential docs to ensure compliance with the ISO 9001: 2000 Quality Standards.
Attend internal and external meetings, seminars/conferences/meetings etc as agreed with line management.
Responsible for own personal development and on-going professional/ specialist training as agreed with Line Management.
Provide written reports and updates as required or requested by Line Management.
Be a team player with good ethical values and respectful of colleagues within the division and other business areas within the Corporation.
Travel within UK as appropriate and approved by Line Management.
Undertake ad hoc tasks, projects and other appropriate business administrative tasks that may be required from time to time to achieve the business objectives.
Comply with all SSVC Policies and procedures, including the Health and Safety Policy and SSVC Quality Manual.
Ensure the requirements of ISO9001are maintained in line with Corporate and Departmental Quality Policies.
Ensure all aspects of Health & Safety are adhered to in line with the SSVC’s Health & Safety Policy.

Experience / Previous experience within an office/admin role i.e. diary management, leave & sickness records, pool vehicles / Relevant experience within a radio / music admin environment
Qualifications / Good standard of general education i.e. GCSE standard (or equivalent) English & Maths
