JOB DESCRIPTION

Job Title : MIS Officer

Reports To : Director of Information Services

Overall Responsibilities

1)  To assist in the development of the College’s Management Information System.

2)  To assist with the update and maintenance of the Student Record and Finance system.

3)  To create, maintain, monitor and update MIS procedures.

4)  To create and maintain adequate audit procedures which comply with internal and external auditors.

Duties

1) To assist in the enrolment of students and to ensure information is updated and maintained.

2) To assist in the preparation of statistical returns and reports for both internal and external bodies.

3) To provide support and training on Information Technology and in particular the Distinction systems QLS/QLx Student and Finance system to all Finance and Information services Unit (FISU) staff.

4) To take daily systems backups of MIS System and to ensure secure storage of the backup.

5) To assist in the coding of enrolment forms in order to prepare LSC/HEFCE returns.

6) To monitor withdrawal and transfer of students and ensure that the student record system is correctly updated and the Local Education Authority/Student Loan Company is informed. To inform the Office Manager of withdrawals which result in amendments to tuition fees enabling the creation of credit notes or replacement invoices.

7) To assist in raising invoices, credit notes and refunds for the students enrolled as appropriate. To post these transactions from the student records to the Financial Ledgers and to ensure reconciliation of these postings.

8) To perform system audit checks as recommended by the internal and external auditors and reconcile various data on the system.

9) To create documentation and maintain procedures for FISU functions to satisfy the internal and external auditors.

10)   To develop and maintain various statistical reports required.

10) To ensure confidentiality of information in the FISU in line with the Data

Protection Act.

11)   Any other duties as may be commensurate with the grade and nature of the post.
