Purpose:

Coordinates, organizes and supervises the front desk operation for the Investment Services Department. Directs area lobby traffic and ensures adherence to department schedules. Performs a variety of administrative tasks, provides department staff support and basic information about Investment Services offerings.

Essential Functions:

  1. Provides day-to-day administration of the front desk area including greeting members, answering and directing telephone calls, emails, drop-in and web-driven communication, assisting members with going paperless, scheduling appointments, maintaining current supply of marketing materials, office supplies, forms, etc., and all within the scope allowed for unlicensed staff.
  2. Provides Investment Services program support, including opening mail and processing correspondence and statements, processing checks and outgoing mail, processing address and name changes, maintenance of client database information for online single sign-on and Flag 58, assisting with the resolution of client issues and preparation of reports for management.
  3. Provides support to Financial Advisors, including assisting with the reviewing and scanning paperwork, assisting with arrangements and supplies for seminars and other educational events, and assisting with preparing reports on seminar attendance, referrals, etc.
  4. Completes training and keeps current on knowledge and procedures required by CUSO Financial Services, L.P. (CFS) and Oregon State Credit Union, in accordance with the Credit Union’s performance expectations, to include but not limited to CFS Compliance and Operations manual knowledge, annual compliance training, Credit Union product knowledge assessments and consultative sales training.
  5. Maintains confidentiality at all times.

Job Scope:

The Investment Services Coordinator is responsible for performing a variety of administrative tasks independently, for working with CFS to ensure compliance and accurate reporting and for keeping Credit Union management apprised of any critical issues. The Coordinator must demonstrate the ability to make sound, logical decisions based on policies, procedures, regulations, and guidelines. The nature of the work requires the ability to work independently at times, solve simple problems, communicate effectively, and manage time well.

Interpersonal Contacts:

The Investment Services Coordinator must demonstrate excellent interpersonal skills, both oral and written, in order to work effectively. This position interacts extensively with department co-workers, CFS, credit union management, staff and members, and vendors on a variety of levels and subjects.

Education and/or Experience:

  1. High school diploma or GED equivalent.
  2. One to three years of prior office experience required with demonstrated ability to organize and prioritize daily work activities.
  3. Six months relevant experience in the investment or financial services industry preferred.
  4. Proficiency in the use of Microsoft Outlook, Power Point, Word and Excel or similar software, with a minimum keyboarding speed of 50 wpm.
  5. Customer service experience preferred.
  6. Experience with dataVision and Spectrum/Branch Suite software applications preferred.

  2. Occasional lifting, carrying, pushing, and pulling of items weighing up to 25 lbs.
  3. Occasional reaching up to 24 inches.
  4. Frequent keystroke activity.
  5. Schedule may vary.
