OUTLINE JOB DESCRIPTION
KEY DELIVERABLES
MAIN RESPONSIBILITIES:
The core purpose of the Marketing & Admissions Assistant is to support the Registrar and the Marketing Manager in the execution of their duties and responsibilities.
a)To be a brand ambassador who understands the School’s particular value proposition, appreciates individual parent and pupil needs in order to effectively sell the School to prospective families.
b)To prepare all admissions materials for prospective pupil events and convert enquiries into firm applications, helping drive new enrolments.
c)To be an excellent data manager and understand how to manage, analyse and develop data reports
d)Develop personal rapport with prospective parents and pupils
e)Conduct pre-visit surveys to gather as much information on specific needs, background and profile of each parent and pupil pre-visit to prepare and tailor the approach
f)Proactively follow up all new enquiries and post-visit, to convert to the next stage of the admissions process and maintain contact with all live enquiries during the admissions process
g)Deliver personalised visit experience to each prospective parent and pupil
h)Conduct 1:1 and group tours of the school and answer parent and pupil queries during post tour consultations
i)Provide post tour feedback on all families to the Head and Registrar
j)Maintain the prospective parents’ Portal and SIMS databases and ensure accurate data-input for all stages of the process
k)Coordinate receipt of all documentation relevant to support a new admission, and maintain admissions file ahead of transfer to school office on enrolment
l)Coordinate and prepare for all new pupil events and taster days
m)Enter all appropriate pupil data on to SIMS
n)Conduct follow-up calls to parents who did not choose St Nicholas Preparatory School to build a body of knowledge on where the school loses pupils to and areas for improvement
o)Complete the transfer of admissions records from St Nicholas for families when they leave
p)Act as brand ambassador and present the school to prospective parents and pupils at recruitment events, open days and information sessions locally
q)Support marketing activity within the school to support the admissions function
r)Support the admissions and marketing team in planning and organising pupil recruitment and marketing events, registering and welcoming parents, ensuring that all required materials are delivered and parents receive excellent customer service
s)Provide necessary Tier 4 Visa support to non-EU applying families as required
t)Supporting the administrative requirements of the Registrarand the Marketing Manager and helping with day to day admin tasks as required
u)To undertake any other duties as directed by the Head in order to fulfil the requirement of the role
v)Provide the Registrar with the monthly forecasting of admissions figures and compilation of ad-hoc reports to the school Senior Leadership Team as required
w)Keep up to date admissions based information on competitor schools including fees, prospectus and open day events
Person Specification:
Candidates should be educated to A’ Level or above and must have excellent spoken and written English also:
Applicants for this role should be able to demonstrate the following qualities and skills:
- Excellent written and verbal communication skills with a pleasant and confident manner
- Excellent people skills with the ability to interact confidently in person and on the telephone with different types of people
- A strong service ethic with the desire to deliver a high standard of customer service within the role
- Well- presented and of smart appearance
- Outcome focussed, concerned with results
- Excellent data entry skills (Sims experience would be an advantage)
- Strong attention to detail
- High level of personal organisation skills
- Good ICT skills (e.g. Word, Access, Excel, PowerPoint)
- Flexible attitude – as no two days are the same and the workload varies through the school year
- Social media savvy
- It is anticipated that the successful candidate will be educated to at least “A” level standard and have experience of working within a sales or customer service environment. The role will be based at St Nicholas Prep School.

- Ensure a thorough awareness and practical application of the policies and procedures for St Nicholas Prep
- Operate safely in the St Nicholas Prep workplace and at external facilities, maintaining a high standard of Health and Safety practice
- Behave professionally at all times and maintain confidentiality of information
Training and support will be provided.
Working hours will be 9.00am – 5.00pm, Monday to Friday all year round, as per contract of employment.
Annual leave will need to be taken during school holidays only and the post holder will be entitled to 25 days, excluding bank holidays.
