Information to Assist & Conditions of Use in Booking CHEC Facilities

The Coffs Harbour Education Campus is a unique partnership between the Southern Cross University, TAFE NSW, North Coast Institute and the Department of Education and Training (Coffs Harbour Senior College). The partnership arrangement on the Campus not only provides opportunities for students but also allows for the development of joint programs, access to information and technology resources, and facilities which ultimately benefit the community and patrons of CHEC facilities and services.

Notwithstanding CHEC’s priority and commitment to its educational establishment, the Campus wishes to maximise access by the community to its facilities and resources. CHEC has resolved to make its facilities available to the community and external organisations.

To make your visit to Coffs Harbour Education Campus a more friendly and enlightening experience, there are a few details that you will need to know.

Making a Booking: If your organisation wishes to use Campus Facilities, a booking may be made with the Campus Booking Office. Enquiries should be directed to the Bookings Officer by telephoning (02) 6659 3093 or by emailing Booking forms have been detailed to ensure all bookings are favourably serviced. These forms can be forwarded via mail, fax, internet or collection from the Administration Office at the Coffs Harbour Education Campus. Upon receipt of the completed booking form with applicable fees & charges agreed, the Booking Officer will confirm the booking via written confirmation. In the event that holding deposit is prepaid to CHEC, then to secure a refund of that deposit, 14 days notice to the bookings officer prior to the commencement of the event is required.

Bookings that are requested beyond the current annual timetable require Campus Executive approval prior to acceptance of that booking.

Catering: The Campus has a policy that the on-site Campus caterers have the initial opportunity to provide a quotation for catering an event/function. If you require information concerning catering requirements, the Bookings Officer is available to assist you with your enquiry or you may direct your enquiry to the on-site Campus caterers. Telephone the cafeteria on 66593250. Details which may be requested of you includes number of participants, your budget, and menu preference and your account details.

Advertising: It is Campus policy to check all advertising for functions using Campus facilities prior to publication or release. The Bookings Officer will be required to approve any advertising subject to the booking.

Technical Support: In order to provide professional service with any booking requiring the subject equipment, Campus policy requires Campus appointed technical assistant/s to operate and/or supervise the operation of this equipment. As this includes any audio visual and/or computer equipment, it is desirable that this area of the booking be discussed with our technical support staff. This may be arranged through the Campus Booking Office on telephone (02) 66593093. As the Campus is primarily an educational institution, you will need to liaise with the Campus Booking Office to gain approval for the erection of any temporary structure or the installation of any extra equipment that you may wish to provide.

Security: Campus contract security personnel are required to be present for all events for the purpose of security and emergency incidence response. The rate of employment will determined in accordance with the “duty of care” policy. The Booking Officer will determine the level of security required based on the particulars of any booking. The CHEC Security service provides 24 hour security for the Campus.

Damage to Campus Property/Equipment/ & Cleaning: In the unfortunate event that your organisation or the participants of your organisation’s event cause any damage to Campus property or equipment, or leave any litter, the repairs or extra cleaning shall be made good by the Campus and your organisation will be invoiced for the costs. General cleaning charges are included in the booking, however in the event that additional cleaning and maintenance expenses are incurred by CHEC, then an additional charge will be levied. Parking Coffs Harbour Education Campus has provided ample parking for your convenience at a number of designated locations.

Public Liability :To avoid any problems with litigation as a consequence of an injury to one of your guests, you are reminded that it is your responsibility to have public liability/workers compensation insurance. A copy of Certificate of Currency is required to be attached to any application
