Title: FAQ- How to Use Electronic Distributions of W2/1099s

Info: As of Tax year 2013 it is possible to electronically distribute both W2’s and 1099s. This can be done in place of or in addition to Aatrix Printing out and mailing them to their recipients. If you choose to do electronic distribution only you will be charged $.99/record vs $1.89/record for each employee/vendor you choose that option for. You can choose electronic only for as many or as few employees/vendors as you want.

Requirements:

If you intend to do Electronic Distributions only (you are not printing or giving the recipient a W2/1099) to one or more vendors you must use the Complete Filing option.

When you start producing W2s/1099’s there is a screen that asks if you have any recipients who elected to receive their forms electronically.

You must say YES to have the option.

Once you get to the Preparer Grid scroll to the last columns on the first frame. You will see a column for Electronic Only and Email Address.

You will notice the email address is optional. If you don’t have the email address later on you will have the opportunity to print out a form that contains a link and a code to retrieve the form.

In order to use the Electronic Only you have to choose the complete filing option.

After you have successfully uploaded your filing and gotten your AFID number a wizard will come up to guide you through Emailing/Printing of electronic W2’s/1099’s.

NOTE: If you have any questions or problems logging onto the Aatrix efile site or sending email notification please contact Aatrix at or 701-746-6814. This functionality is outside of MIP and Abila customer support does not have the ability to troubleshoot these issues.

You will get a list of recipients that were previously selected to receive electronic forms. You can add to this list if you like by checking the boxes.

Enter the email address the notifications will come from.

You will be prompted for your email credentials. If you wish to skip emailing and simply print out access letters you can do so at the bottom.

The system will automatically attempt to log in with that information.

If it cannot get logged in automatically it will prompt you for your email server information. This information should be provided to you by your network administrator. Aatrix or MIP will not know this configuration information.

If after entering the information you still cannot log on you should involve your network administrator to check the configuration. If you still have any difficulties contact Aatrix at or 701-746-6814. This functionality is outside of MIP and Abila customer support does not have the ability to troubleshoot these issues.

If you wish to print the access letters in addition to or in place of email you can do that.

You will be prompted for some additional information.
