5 Qualifications

Introduction

In this part of WeldEye, you can add welders’ certificates in to the database and search for the added certificates. Please note that data inserted in the Personnel part of WeldEye are linked to welders’ certificates.

In this part of WeldEye you are also able to use the Prolongation tool to search for references that can be used for 6-month updates and 2-year prolongations.

When using WeldEye to administrate personnel’s test certificates, you are required to register the personnel before adding the welders test certificates. See Chapter Personnel.

This part, Qualifications, is divided in:

-  Search

-  New

-  Prolongation Tool

-  Prolongation Reports

5.1.  Welder certificates

5.1.1.  Moving between fields and choose text from drop-down menu

To move between fields in a certificate, you can:

1.  Use your tabulator key on your keyboard to move between fields.

a.  If the field contains a drop-down menu, you can use the arrow keys on your keyboard to navigate up and down in the drop-down menu.

b.  When your wanted text in the drop-down menu is highlighted, hit your tabulator key. By hitting your tabulator key, you will choose the text to insert in the field and move to the next field, in one operation.

c.  If you want to go back to the previous field: Hold the Shift key down and hit your tabulator key once. By holding the Shift key down and hit the tabulator key several times you will move backwards in the fields.

2.  You can also use your mouse to move between fields, and double-click on the text in the drop-down menu to choose the wanted text.

3.  In a field containing a drop-down menu, you can type in the first letters or numbers. If there is a match, the drop-down will open and the cursor will automatically move to the first matched text.

5.1.2.  Create new certificate

In this chapter we will describe how to create new certificates in WeldEye. Certificate creation is permission based. If you cannot see the menu button, you do not have the permissions to create certificates. A user can do different tasks within a certificate.

These tasks are based on what kind of permissions or roles the user has.

To create a new certificate, please do the following:

- From the left side menu, choose Qualifications->New and then the preferred type of certificate. (For example EN-287-1:2004) The following will be displayed:

Fig. 1:

1. Select a national prefix from the drop down menu 1. (BS=British Standard, NS=Norwegian Standard, SS=Swedish Standard)

2. Select a person from the drop down menu 2. Personnel registered in Personnel Record will be available in the drop-down menu.

3. Now you can save the document by pressing the Save icon. (Icon 3 above)

It will then appear more buttons on the top of the screen:

Explanation to the icons/buttons/fields:

Back: Takes you back to the last updated screen.

Save: Saves the changes made in the document.

Save as: ”Copy function.” If you have a certificate you want to copy into a new one, you can open an existing certificate and save it as a new document.

Log: A log is a” history” of the certificate that can be viewed.

PDF: A click on this icon will create a PDF file of the certificate. The PDF opens in a new window. (Prerequisite that Adobe reader is installed.)

: Print icon. To be used to create a PDF file via Print Tool. For example if you need to create a PDF file of more than one document.

Delete: Deletes the certificate.

Active: Check-box to indicate if you want the test certificate to be active or inactive. The default is Active. If the tick in the check-box is removed (click on the check-box to do so) and then press Save, the test certificate is inactive. It means that it is still in the database, but you have to search specifically for it.

1 above: Drop-down menu where you can navigate in the document. You will find additional pages in the drop down menu where you can add a PDF file to a test certificate.

Open Month: See Fig. 2 below

Open year: See Fig. 2 below

2 above: Defines what kind of certificate the user is working with. (In this case EN 287-1:2004 Steel.) Available certificate types in the drop down menu are EN 287-1:2004 Steel and EN ISO 9606-2:2004 Aluminium.

Two Testpieces: Check-box (3 above) is marked if the approval test is based on two test pieces. If unmarked, the layout will display “one test piece screen”.

Fig. 2:

If a test certificate has been signed 8 times in a 6 months period and extended for 2 years twice, all the signature fields will be completed.

To insert new 6-month signature when area 1 above is “full”, press the Open Month button. The top line (2 above) will be empty so that a new 6-mont signature can be added.

To insert a third 2-years prolongation, press the Open Years button. The top line (3 above) will be empty so that a third 2-years prolongation can be done.

4. Fill in the data in the columns for Test piece(s). See Figure 1.

5. When all the data is filled in, the Range of Qualification will automatically be filled when you press save.

Note that all the fields with the icon to the right are drop down menus. The values can be chosen from the drop down menu, or you can just start to type. When you start typing, the pointer will chose the first value from the drop down menu which matches what you are starting to type.

5.1.3.  Sign new certificate

The new certificate can be “signed” by inserting the Date of welding (1 below), Date (2 below) and type in the “signature” manually in Examining body (3 below)

Dates can be inserted by choosing it from the calendar or insert it manually. The calendar opens by click on the calendar icon. If inserted manually, the correct date format set for the user needs to be used.

Press the Save button.

The test certificate is now “signed”. The fields Validity until (6 months / 2 year) (4 and 5 above) will be automatically filled with basis in value in Date of welding field.

5.1.4.  Edit signed certificate

After a test certificate is signed in the Date field the test certificate is “locked”. You must have the right permission to open it again.

To change the content of a certificate, please do the following:

- Remove the value from Examining body field (3 above) by mark it and delete the value.

- Click Save. Signature is removed, and the test certificate is editable. (”Locked up”)

- Do the changes needed.

- Insert a date in the field (2 above) or chose a date from the calendar. The calendar opens when you click on the calendar icon.

- Type in the “signature” manually in Examining body field (3 above)

- Press Save. The changes are saved.

5.1.5.  Copy certificate

If you have several identical or almost identical certificates in your company, you don’t have to punch in data in each field on every single certificate. In WeldEye you can create one, and then make certificates containing the same, or almost the same data. This is possible by using the Save as icon in the top menu.

Example:

A certificate exists for welder A. Welder B welded a test coupon at the same time. The condition for the test coupon was exactly the same for both of the welders. To make the new certificate for welder B, we do as follows:

1.  Open welder A’s certificate. This certificate may be locked for editing which is OK.

2.  Click the Save as icon. Dates and signatures will disappear. The certificate is now ready for editing.

3.  Choose the name to the person you want to make the new certificate for (Welder B). You choose from the list in the drop-down menu

4.  Insert the date and signature in the new certificate.

5.  Click the Save icon in the top menu.

You have now created a certificate for welder B with the exact same data as welder A.

5.1.6.  Insert 6-month signatures in certificate

The flow for an EN ISO welder certificate:

Add a new person -> Register a new certificate -> Certificate issued from the Examining body -> 4 off 6-months signing by company -> 2 years prolongation by Examining body -> 4 off 6-months signing by company -> 2 years prolongation by Examining body -> etc.

In WeldEye it is possible to insert 6 month signatures in the certificate or insert 6-month signatures from certificate survey.

To insert a 6 month signature in the certificate, please do the following:

  1. Insert the date in the field 1 by select a date from the calendar or type a date. If you type in a date manually, the format must be the same as your user configuration.
  2. Sign it by pressing the Signature icon 2.
  3. Press Save icon in top menu.

The certificate is now updated for 6 months. The position and a typed signature (3 above) will be displayed after you have saved. New 6 month date is calculated and inserted in 4 above.

You can also insert 6 month signatures from the Certificate Survey. “See Insert 6 month signatures from Certificate Survey”

5.1.7.  Remove 6-month signatures in certificate

To remove the 6-month signature in a certificate, please do as follows:

1. Click on the Revise icon for the signature you want to revoke. (1 below)

2. Click OK on the confirmation message.

3. Click the Save icon in the top menu. The 6 month signature is now revoked.

5.1.8.  Insert 2 year prolongation signatures in certificate

After 4 off 6-month signatures, the certificate can be prolonged for 2 years. To perform the 2-year prolongation, please do the following:

1.  Click on the calendar button (2 above) and insert date prolonged.

2.  Click on the signature button (3 above)

3.  Save the certificate by click on the Save icon (4)

Information in the fields Prolonged to, Position and Signature will be automatically filled after save.

A new date for Validity 6-month and 2-year will also be inserted automatically in fields 5 and 6 above after save.

Instead of using the calendar for inserting the dates, you can type the dates manually. You need to type the date in the same format as you have set in the User preferences.

To remove the 2 year signature in a certificate, please do as follows:

1. Click on the Revise icon for the signature you want to revoke. (3 above)

2. Click OK on the confirmation message.

3. Click the Save icon in the top menu. The 2 year signature is now revoked.
