Longitudinal Aging Study Amsterdam: Data access permission contract

By signing this document, the recipient states that (s)he has read and agrees to the following:

  1. The recipient has an approved proposal for data analysis. The requested LASA data will be used for the following purpose:

☐ a. For (supervision of) an internship

☐ b. For publication of results of analyses in a scientific article, conference abstract or report

☐ c. For replication of published results based on LASA data

Ad a. The internship supervisor will be responsible for upholding points 2, 3and 4of this contract and assures that interns working with LASA data will do so and will discuss the importance of points 2, 3 and 4 with the intern.

Ad b. The recipientagrees to only conduct research/analyses as described in an approved proposal for data analysis. New use of the data that have been distributed for the purpose of that analysis plan will require submission of a new analysis proposal; substantive modification of the original plan also requires submission of an amendment to the application.Data will be distributed with the intention that results of an approved proposal for data analysis will be submitted for publication or presentation. The recipient commits to submitting the results for publication in a scientific article or for publication in a research report or research abstract, regardless of the outcomes of the study.If publication is cancelled, this must be reported to the LASA Scientific Director.

Ad c. The recipientcommits to using the data for replication of previously published results only and may not use the data for original research or other purposes.

  1. The recipient agrees not to use data to identify or contact individual participants.The recipient agrees not to link individual data to other databases, unless this has been approved by the LASA Steering Group.
  1. The recipient agrees to retain control over the data, and agrees not to distributesamples or (individual or aggregated)data in any form to any entity or individual.
  1. The recipient agrees to retain the final dataset with all variables and only those variables that have been included in published results,after any scientific publication and to send this file to the LASA secretariat (Fadime Kursun; ) for inclusion in the LASA repository.
  1. Publications should be approved by one or more designatedLASAco-authorsbefore submission.In case of a scientific article, at least one co-author from the LASA-group should be included.
  1. The following statement should be used for Open Access journals that require a statement about open access of published data. In addition, the recipient will uphold the LASA policy with regard to Open Access publishing, stating that no data shall be made available to third parties (including Open Access journals).

“Data from the Longitudinal Aging Study Amsterdam (LASA) are available for use for specific research questions, provided that an agreement is made up. Research proposals should be submitted to the LASA Steering Group, using a standard analysis proposal form that can be obtained from the LASA website: . Files with data published in this publication are freely available for replication purposes and can be obtained using the same analysis proposal form. The LASA Steering Group will review all requests for data to ensure that proposals for the use of LASA data do not violate privacy regulations and are in keeping with informed consent that is provided by all LASA participants.”

  1. Resulting papers using LASAdata should include the following acknowledgement in the paper:

“The Longitudinal Aging Study Amsterdam is supported by a grant from the Netherlands Ministry of Health Welfare and Sports, Directorate of Long-Term Care.”

When data are analysed from the main measurement cycles of 2012-2013 (regular cohort) and/or 2013-2014 (Turkish and Moroccan migrants) the following acknowledgement should be added:

“The data collection [in 2012-2013 and 2013-2014] was financially supported by the Netherlands Organization for Scientific Research (NWO) in the framework of the project “New Cohorts of young old in the 21st century” (file number 480-10-014).”
