Minutes for Board of Directors’ Meeting
March 25, 2013
Present: Directors: Jeff Barnes, President; Jeff Patubo, Treasurer; Rod Huff, Secretary; Katherine Street, Director.
Kevin Wheeler, Property Manager.
Absent: None, 1 position open
Call to Order
President J. Barnes called the meeting to order at 7:00 PM at the Porter Library, Stafford, VA.
Proof of Quorum
A quorum was declared.
Approval of Agenda
On motion by J. Barnes, seconded by R. Huff, the agenda was approved.
Approval of Last Meeting Minutes
On Motion by President Jeff Barnes, and second by Rod Huff, minutes of the last meeting of the Board of Directors were approved by all directors which included a report from the Treasurer.
Board Reports
Treasurer Jeff Patubo submitted a written report.
J. Patubo asked Management as to why the Reserve Contributions were not put in the Reserve Bank account on a monthly basis. Manager Wheeler stated that he would inquire with the Accountant and report back at next meeting.
J. Patubo mentioned that the names on the accounts are wrong, Wachovia is no longer an entity and it should reflect Wells Fargo. Manager Wheeler stated that he would address this with Accountant as well.
J. Patubo requested new signature cards for all accounts.
Management Report
Property Manager K. Wheeler submitted management report.

New Business
1Insurance Policy
The Board discussed the proposals for insurance for the Association and after reviewing decided to stay with Erie Insurance. R. Huff Motioned to approve and K. Street Seconded the motion, all in favor. Motion Passed.
2Audit (2011 & 2012)
J.Patubo motioned to approve the Audit as presented, Katherine Street seconded the motion, all in favor, motion approved.
3Request for reimbursement for windows – 102 Chesterfield #301
K. Street motioned to deny reimbursement citing the fact that permission was not granted in the first place, R. Huff seconded the motion, all in favor, motion passed.
4Request for new windows – 106 Surry
J. Barnes motioned to have new windows installed at 106 Surry per request from owner. R. Huff seconded the motion, all in favor, Motion approved.
5Manager Wheeler presented the Board with the new ordinance from Stafford County requiring a central collection area for trash. The Board will review and make a decision at a later date.
Executive Session
On motion by President Jeff Barnes and seconded by Katherine Street, the Board voted unanimously to go into Executive Session at 7:40 PM. On motion by President Jeff Barnes, seconded by Katherine Street, the Board voted unanimously to return to Regular Session at 7:45 PM.
Adjournment
On motion by President Jeff Barnes and seconded by Rod Huff, the Board voted unanimously to adjourn at 7:48 PM.
