APARTMENTS/HOUSES/DORMITORIES AT CARY INSTITUTE


WELCOME TO THE CARY INSTITUTE OF ECOSYSTEM STUDIES.

Our housing includes the following apartments, houses, and dormitories:

Bacon Flats Lodge — 2799 Sharon Turnpike (adjacent to the Plant Science Building). This lodge offers accommodations for 12 people in seven rooms. A compact and fully-equipped kitchen and bathroom are available for each pair of rooms. Each room has access from the interior hallway and through a sliding glass door to the outdoors. The rooms contain two single beds or one double bed, two desks, closets, and shelf space. A large, screened porch offers, in season, an area for group discussions. The basement contains a telephone, washer and dryer, and a TV room for residents’ use as well as an exercise area with a Universal machine and other exercise equipment available to members* for a nominal fee:

Cary West House — 4797 Route 82 (located across from the lowlands). This house has a full kitchen, living/dining room, three bedrooms, large downstairs for a family room and two full bathrooms. The master bedroom has one full bath with a shower stall. A washer and dryer are available.

Conover House — 54 Fowler Road (located just past the Cottonwood Motel on Route 44). This house has three spacious bedrooms, 2 single and one double, which occupy the second floor of the Conover House. Each room has a single bed, table, desk space, closet, and washbasin. A fourth room is a common room with TV for the residents to share. Shower and toilet facilities are also shared. A large, fully-equipped, communal kitchen is on the first floor.

Crear House — 384 Canoe Hill Road. This house has a full kitchen, half bathroom, a study and living room on the first floor. On the second floor there are three bedrooms and two bathrooms. There is a screened-in porch on the back of the house. The master bedroom has one full bath with a shower stall.


Gifford Tenant House — 2931 Sharon Turnpike (located next to the Gifford House, 2917 Sharon Turnpike). This house offers accommodations for four people. It contains two baths, a fully-equipped, communal kitchen, and a living room. There is one bedroom downstairs, one double and one single room upstairs.
Henry House — 434 Canoe Hill Road (located after the bridge on Canoe Hill Road). The Henry House has three bedrooms, two bathrooms, living room, dining room and fully equipped, communal kitchen.

Knapp House — 278 Fowler Road (located just past the Armand Lovelace House and the Carpentry Shop). This spacious residence contains four bedrooms: one master bedroom, two single rooms, and a room with twin beds. There is a fully- equipped kitchen, a dining room, a living room, and 2½ bathrooms.

Leland (Lee) Lovelace House — 23 Lovelace Drive (located off Fowler Road on Lee Lovelace Drive). The Leland Lovelace House contains a small suite with three beds, bathroom, common room, and fully-equipped, communal kitchen on the first floor. The second and third floors have bathrooms and single rooms, plus one double room, for a total of 10 bedrooms. A washer and dryer are available.

Smith House — 15 Fowler Road (located just past the Cottonwood Motel on Route 44). The first floor provides a fully-equipped kitchen, a large dining room, a large bathroom, a large living room and a two-bed suite. The second floor has two single bedrooms, two double bedrooms and one full bath.

Smith Cottage — 23 Fowler Road (located next to the Smith House). The Cottage contains a small living room with dining alcove and fully-equipped kitchen. There are two bedrooms, one single and one double, and a full bath.

Armand Lovelace House — 193 Fowler Road This house has apartments on the first and second floors.

1st Floor Apartment Parking for this apartment is located at the far end of the house and on the same side of the road. Entry is gained by using the door closest to that parking area. This apartment has a bedroom with a double bed and a bedroom with twin beds. There is a spacious, fully-equipped, eat-in-kitchen, a dining room, living room and full bathroom facilities.

2nd Floor Apartment - Parking for this apartment is located across the road from the house itself. Entry is gained by way of the steps across the road, onto the large screened porch, and into the door -- then up the stairs. There are two bedrooms: one with a double bed and one with twin beds. There is a small office area, a small, fully-equipped kitchen, a dining area, living room, and full bathroom facilities.

Tea House -111 Lovelace Drive (located on Tea House Hill). This small, secluded retreat is the only building on Cary property designed and built for Mrs. Cary. The house has a pullout couch for sleeping space, a small, fully-equipped kitchen, a dining table in the living area, and best of all -- a spectacular view! Its use is reserved for special guests and special occasions.

Town Line Cottage- 4722 Rte 82- The house contains a large living room and dining room with a fully-equipped eat-in kitchen. There are two bedrooms with office and one and half baths

HOUSING POLICY AND PROCEDURES POLICY

The ongoing research and educational programs at the Cary Institute of Ecosystem Studies frequently involve visiting faculty, students, scientists, or other participants. The length of stay may vary from overnight to a semester or longer. Recognizing the need for accommodations that are both affordable and readily accessible to Institute facilities, the Institute has made rooms available in separate buildings described in detail on the preceding pages. Rates vary according to the nature of the accommodations. In special circumstances, approval may be given for groups staying for one or two nights to bring their own sleeping bags.

While we do have the facilities to accommodate families, not all Cary Institute housing is appropriate for children. The Housing Coordinator is to be notified of any and all children onsite.

The housing policy is designed to offer flexibility. The needs of a group of scientists on a two-day trip to the Institute differ from those of senior visiting scientists. Summer is a period of high occupancy, and priority then is given to occupants who are working at the Cary Institute during that season, in the order in which their reservations are made with the Housing Coordinator.


IMPORTANT NOTE:

Cary Conferences are held on-site in the spring of alternate years. Occupants not attending the Cary Conference will be asked to vacate rooms to free them for attendees.

At other times, the following priorities apply:

PRIORITY GUIDELINES

Priorities have been established to enable the Housing Coordinator make decisions in those times when demand for housing exceeds capacity. Housing will be assigned in accordance with the following order of priority:

A. First Priority

1. Seasonal program or Functions participants. These may be students or employees whose on-site commitment is expected to be less than twelve months.

2. Visiting Scientists.

B. Second Priority

All program participants not included in the First Priority category.
Note: Assignments are made on a first-come, first-served basis for candidates in the same priority group. For this reason, Cary Institute staff hosting students or other visitors should schedule housing as soon as needs are known.

RESERVATIONS AND FEES

A. Reservations
1. Institute staff must make all reservations with the Housing Coordinator. Electronic forms are available on the Cary Intranet homepage:

Requests will be submitted directly to the Housing Coordinator upon completion.

2. The Housing Coordinator will schedule room assignments and will resolve any conflicts with those affected.

B. Housing Fees (based upon actual occupancy, not number of beds in a room).

If departure is not during office hours, arrangements should be made in advance with the Housing Coordinator for final payment. Keys should be left in the Key Drop Box located by the front door of the building.

For student events scheduled and approved in advance by the Housing Coordinator, rates of $15.00/person/night will apply for limited numbers authorized to use sleeping bags or floors.

ARRIVAL AND CHECK-IN

Check-in time on the weekdays is 2:00 pm Check- out time is at 11:00 am The Housing Coordinator is responsible for confirming the visitor’s housing arrangements and verifying the readiness of the rooms. Keys will be left in the vestibule (entrance way) of the Plant Science Building in anticipation of the visitor’s arrival unless other arrangements have been made.

The Institute host must assume responsibility for the check-in procedure for after-hour or weekend arrivals.

OVERNIGHT GUESTS

A resident may secure overnight lodging (maximum two nights) for a guest in advance by completing a housing request form and submitting it to the Housing Coordinator along with payment of $15.00 per night. The guests stay must be registered and prepaid, no exceptions.

HOUSEKEEPING

LONGER-TERM & SUMMER RESIDENTS OF APARTMENTS AND HOUSES

Tenants using apartments/houses as family residences will find the residence thoroughly clean upon arrival. Housekeeping, for the duration of occupancy, is the responsibility of the tenants.
All general structural maintenance -- window washing household repairs, plumbing, electrical, structural problems-- will be taken care of by Cary Operations staff. Please be certain to report any problems immediately to the Physical Plant Manager.

LONGER-TERM & SUMMER RESIDENTS OF DORMITORIES

Notice of Entry - Housekeeping staff and other support staff are under instructions not to enter assigned bedrooms without advance coordination with the occupant except in exceptional circumstances. Exceptions include fire emergency, mechanical malfunctions or similar circumstances representing a risk of harm or safety to the building or its occupants. Plant Manager or Safety Officer will conduct bi-weekly safety inspections of all common areas of housing.

In brief:

Longer-Term & Summer Residents are responsible for:

·  keeping bedrooms clean

·  keeping common areas neat

·  washing and drying personal linens/towels

·  keeping kitchens clean, dishes washed, counters cleared

·  bagging and removing trash & recyclables, removing spoiled foods from refrigerators, returning bottles and cans on a regular basis

Cleaning supplies are available in each dormitory. [See Housekeeping for location of these items for your use.]

Cary Institute Housekeeping staff is NOT responsible for:

·  washing dishes

·  stripping beds

·  picking -up or washing soiled towels and personal laundry

·  transporting bagged trash to the receptacles (dumpsters)

·  cleaning bedrooms

TRASH REMOVAL

Large trash cans are provided at each building for trash and recyclables.

Longer-Term Summer Residents are responsible for bringing bagged trash and recyclables to the receptacles in the rear parking area of the Plant Science Building.

Short-term Occupants must empty the indoor trash and recyclable containers.
When full, please place outdoors into these bins for pick-up by Operations
Staff. Trash cans are also provided in the kitchen of each dormitory; trash from
these should be emptied into the larger cans on the porch or outside the dormitory
for removal regularly.

Recyclable materials must be bagged for transport by operations staff to the Plant
Science Building recyclable receptacles on a regular basis.

PLEASE: Remove bags from trash cans, tie bags tightly, and place outside the dormitory so that Operations Staff can remove trash in a timely manner.

RETURNABLES

Returnable bottles and cans are the responsibility of the residents.
Please return on a regular basis to avoid unsanitary conditions.

LAUNDRY FACILITIES

A washer and dryer are available in the basement of Bacon Flats Lodge and
on the entry-level of the Lee Lovelace House. All dormitory residents may use these. Keep in mind that Housekeeping staff has priority during regular business hours -

EMERGENCIES

Emergency telephone numbers are listed near telephones for emergencies during non-office hours. In the event of a fire alarm, according to New York State Law you MUST evacuate the building immediately. Fire Alarm Procedures are listed on the intranet — please make sure you review them.

NOTE: All houses, apartments and dormitories are equipped with smoke detectors and alarm systems that are directly connected to the Millbrook Volunteer Fire Department. Smoke from food preparation will trigger these alarms [please use exhaust fans over the stoves at all times when cooking], followed, in roughly six minutes, by the arrival of a fire engine.
QUESTIONS/PROBLEMS/COMPLAINTS

Any questions, problems or complaints should be directed to the Physical Plant Manager.
