MINUTES OF THE December 2014 AGM

These were read and accepted as a true record.

CHAIRMANS REPORT

2015 had been a challenging year for the club with a slight increase in the number of members. It is disappointing to see the attendance tonight. My thanks go to Keith and Liz Wadd for the effort put in promoting and running the club.

The small number of Senior members willing to play match tennis made running the teams a problem at times, but in general we managed to field teams. My thanks go to those who supported the teams and especially those who organised them.

Also I would like to thank the Sports and Social Club and the groundstaff for their support and work during the year. The grass courts played really well all summer. The coaching program has continued with the help of John Mangan and we need to build on the foundation that has been laid.

On a positive note, we still have a hard core of keen players who come up on club nights even through the winter and it has been good to see a few new faces join the club nights. Lets hope it continues next season.

TREASURERS REPORT

A copy of the accounts had been emailed and further copies were handed out.

On the income, subscription income rose by £400, due to a small increase in both juniors and seniors. With the new senior teams income from match fees rose by £170, but visitors fees fell by £78. Total income rose by £462 to £2976.

Our affiliation fees remained unchanged in 2015, but have been increased for 2016 and these will be charged at £110 per hard court and £55 per grass. £500 had been donated to AFSSC. Total expenditure was £2514. This left a profit on the season of £533 and total assets of £7,053, all of which was in the Nat West Account.

The accounts were adopted by the meeting and signed by two committee members.

SECRETARYS REPORT

I should firstly recall that two of our vice presidents, Ray and Rosemary King, died within a few weeks of each other earlier in the year. Ray was the captain of the Mens 3rd team that I first played for in the late 1970s and Rosemary played for the ladies team for many years in the 50s, 60s and 70s, being Liz’s partner when Liz a teenager.

Whilst membership rose slightly from 49 to 58, it was still very disappointing. The total was made up of 36 seniors and 22 juniors. Thanks to Tim and John more coaching opportunities were made available, but the take up was low. Tim reports that 20 children are on the winter courses run in the Pods. He is hoping to expand the range of coaching offered by recruiting a third coach as he nor John can coach any further hours.

Our governing body has changed its name to the Appleby Frodingham Sports and Social Club (AFSSC). They also have a revised constitution. This means that our rules need amending to change AFWAC to AFSSC.

Scunthorpe does not seem to wake up to Tennis, however hard we try to advertise it. We have our own website, plus the websites of the LTA and local council and library plus we are on Facebook. The new AFSSC website is up and running with a direct link to ours. Our membership pamplets were also a plus for the club. I am hoping the Telegraph will publish some articles on tennis nearer next season. It is difficult to know what else we can do.

The Aegon Men’s Team enjoyed the singles matches but only won 1 match, so we await to see if they are relegated from Division 1. The Lincs League Mens team in Division 2 had a poor start, but pulled matters round to win 4 matches out of 8. The Ladies were in Division 1 for 2015 and won 4 of their 7 matches finishing 4th. The winter team have won all their matches so far. The Lincs LTA ran two new leagues for 2015 for veterans (Over 45 men and Over 40 ladies). We put a team in both and they ran over the same time scale as the Aegon Leagues. The Ladies won Division 2, whilst the men won 50% of their matches.

The Lawn Tennis Association have continued to radically change its structure and bring all its dealings on-line. Tennismark Accreditation is now done on line as is payment of all dues. It is difficult to see smaller clubs achieving the higher grading of Tennismark.

Wimbledon Tickets ballots were put on-line and British Tennis Members had to register interest. This put the onus on clubs and, as I predicted, our clubs allocation was halved.

We need our membership pamplet modifying and reprinting. Liz and I are booked to go to Australia for 8 weeks in March and April, so the aim will be to get the pre-season work done by the end of February.

So the Club has the facilities and a growing strength in some areas of development, but more members and volunteers are required!

SUBSCRIPTIONS/MATCH FEES/PAY AS YOU PLAY

The General Committee had discussed subscriptions for 2016, keeping in mind the Business plan.

AFSSC had introduced a £5 Junior subscription, which was agreed should be added to the junior membership. It was agreed Family membership be increased to £120 and Retired/Country Membership be increased to £50.

Thus subs were agreed as follows – Senior £65; Family - £120, Retired/Country - £50; Junior (U19 on April 1st) - £25: Student (U21 and in full time education) - £25. Juniors on a coaching course - £20.

The first three memberships are subject to an addition AFSSC £20 if appropriate.

Match Fees would be Seniors £3 and Juniors £2 in all three couple matches and £2/£1 in 2 couple matches.

Pay as you Play remain at - £8 per court hour for Seniors and £4 for Juniors.

ANY OTHER BUSINESS

Squeezes for newer hardcourts

It was noted that the newer hardcourts did “puddle” for a time in heavier rain. Phil Stamp proposed that we buy two metre wide squeezes at £100 each. This was agreed.

Website

Phil agreed to look into a new website, possibly utilizing the LTA style website offered by the LTA via ClubSpark.

Club Development – Coaching, Volunteering and Facilities

The Club, after a few initial problems, had achieved the new LTA Tennismark Accreditation. However the Club needs a committee where each member has a defined role within the club, (not just to attend meetings). This will enable the Club to develop a co-ordinated approach to the way it is run.

The Club has a long way to go to work to a coaching set up that gives the numbers to run teams, have open days, hold junior tournaments and have a full and co-ordinated coaching program.

The Club needs the volunteers to attend the appropriate courses eg Equity and Child Protection . These are held locally and costs will be covered by grants and/or the Club.

NEED – Volunteers to run Teams and Events from Spring 2015.

To be agreed for the second half of February 2016. Aim for a date so that Tim Pattle can attend.
