Requirements for all short term Visas – type ‘C’

1.  General Requirements for all short term visa applications

( a maximum of 90 days stay in Belgium)

o  Two passport size photographs – colored white background

o  Two visa application forms

o  Visa application fee of 1560

o  Travel Insurance for the duration of stay

o  Ticket Reservation

2. Specific Requirements

2.1.  For Visitors Staying with family or friends in Belgium,

2.1.1. The guarantor in Belgium should send the following:

o  ID Copy

o  Three month salary sheet (most recent)

o  Formal Obligation from a commune in Belgium - original

o  Invitation letter mentioning the duration of stay and relationship

(If there are family ties – the applicant has to proof it by presenting birth certificates)

2.1.2.  The traveler should bring the following

o  A letter from employer mentioning the amount of salary, position, and the accumulated leave days of the traveler .

o  If the traveler is a student, a letter from the education institution proving the institution’s vacation days

o  If the traveler is pensioned – a document of prove of the regular pension income

o  Any prove of ties to the country of origin – fixed or non-fixed property titles, marriage certificate and birth certificates of children etc …

2.2. For visitors staying in a hotel / Tourists

o  Proof of solvency (Bank statements, Letter from Employer mentioning the amount of salary …etc)

o  Hotel reservation directly from the Hotel to the Embassy by ordinary mail/ e-mail or fax

2.3.  For visa applicants going to Belgium to participate in an event (Meetings, short term trainings, sport activities, conferences, workshops or consultations etc …)

o  Invitation Letter from the event organizer in Belgium mentioning the type of the event, the duration of stay

o  Hotel reservation directly from the Hotel to the Embassy by ordinary mail/ e-mail or fax

o  Letter of support from the Employer in Addis Ababa if applicable and bank statement of the organization if the applicant’s cost is covered by them. (in case of local NGOs, private business companies etc …)

2.4.  Visa applications for Belgian Government sponsored short term trips

(Belgian Development Cooperation scholarships, consultations or workshops and meetings)

o  Attestation / Certificate from the Belgian DGDC (mentioning the duration of the stay, the purpose of the stay, the amount of allowances paid etc ..)

o  For Such trips, local travel health insurance is not required since the inviting agency in Belgium already arranges such insurance for the duration of stay of the event participant.

2.5. For visa applicants going to Belgium for commercial purpose

o  Invitation Letter from the commercial partner in Belgium mentioning the business tie, the reason of the travel specifying who covers the cost of the stay for the applicant.

o  Hotel reservation directly from the Hotel to the Embassy by ordinary mail/ e-mail or fax

o  Business/Trade license

o  most recent bank statement of the local company

2.6. For visa applicants going to Belgium for medical treatment

o  Appointment from a doctor in Belgium

o  Proof that the treatment can not be done here in the country

o  Proof of financial means (Bank statement, or any proof of a regular income like monthly salary etc …)

o  If the traveler is staying in a hotel – Hotel reservation directly from the Hotel to the Embassy by ordinary mail/ e-mail or fax is needed

o  If the traveler is staying with family or friends in Belgium the guarantor in Belgium should send what is mentioned in 2.1. above

2.7.  For Requirements for visa to get married in Belgium / ‘visa en vu de

marriage’

o  Id card copy of the fiancé/e in Belgium

o  Attestation of the marriage declaration from Belgium

o  Three month salary sheet (Most recent) of the fiancé/e in Belgium

o  Formal Obligation / engagement de prise en charge from the fiancé/e in Belgium

o  Police Certificate legalized by the ministry of foreign Affairs of the visa applicant

o  Medical Certificate of the visa applicant

o  The visa request file for marriage reason will always be sent to Belgium for approval and the procedure might take 2 - 4 weeks before a response is received.

o  The travel insurance to be purchased for ‘visa en vu de marriage’ is for a minimum of 90 days.

3.  Visa for Children

o  If one parent or both are not going with the child

o  Authorization from the parent/s not going

o  Death certificate legalized by the ministry of foreign affairs in case one of the parents or both parents are deceased

o  Proof from the school that they are closed during the child’s travel is mandatory

4.  Airport Transit Visas

o  Visa to the final destination country

o  Confirmed air ticket showing the travel route

5.  Non-Ethiopian visa applicants – Additional requirements

o  Non-Ethiopian nationals applying for short term visas here in Addis Ababa should be residing in Addis Ababa at the time of application and should present their Ethiopian resident permit in addition to the other requirements mentioned from points 1-4 above.

o  For some nationalities the embassy is obliged to consult Brussels for visa approval and the response will take 7 working days. Therefore, immediate response will not be given. During the application procedure, the embassy gives the information if the case is so.

o  In case of non-Ethiopian nationals who are not temporary residents here in Addis Ababa, the embassy is obliged to send their visa request to Brussels for consultation & the response, approval or otherwise might take 2 - 4 weeks.

NOTE

v  Applicants could always show proof of solvency like bank statements, property title deeds if they have any.

v  Shot term visa application could never exceed 90 days stay and tickets should be arranged accordingly.

v  If the visa request is approved by the Embassy in Addis Ababa, the visa could be delivered with in 5 working days up on presentation of a confirmed round trip flight ticket.

v  If the visa request is sent to Belgium for approval, the procedure might take 2-4 weeks before a response is received. Visa fee paid will not be returned in case of visa denials.

v  Applicants should come to the embassy at least 15 working days before the date of their travel.
