1. PURPOSE OF THE JOB

To part as part of the team in theDublin/Drogheda SVP Community Employment Scheme to assist in ensuring the effective and efficient direction and coordination of the human, financial and material resources of the project.

2. ENVIRONMENT OF THE JOB

The SVP is a large, national, voluntary organisation with extensive experience of working with a diverse range of people who experience poverty and exclusion. Through its network of over 12,000 volunteers and 800 staff, it is strongly committed to working for social justice and advocates the creation of a more just and caring society. SVP employs people to support volunteers in a variety of settings including housing and hostels, community care, shops, administration and other specialist areas.
The Society is a Christian based organisation with a strong sense of Gospel values. The founder of the Society, Blessed Frederic Ozanam, was a devout Catholic and his legacy of spirituality remains a key element of the make-up of every Conference within the Society. It is normal practice within the Society that prayers are said at the beginning and end of Conference meetings or at other meetings where members are in attendance as this underpins the ethos of the Society.
The role is based in the SVP House, Dublinand is part of a team of three supervisors. Given the diverse nature and size of the Society there is a requirement for the job holder to be flexible in their approach to ensure the needs of the organisation are met. There will be a need to assign additional /alternative tasks or duties dependent on the needs of the CE Scheme and will be within the job holder’s capabilities. There is a strong requirement to work in the spirit of collaboration with other colleagues, paid and volunteer.

3. GUIDANCEAND AUTHORITY

The job holder will report directly to the CE Supervisor, who is the line manager.
The prime purpose of the CE Scheme is to support and enable the work of SVP East Retail Operation, its participants and its volunteers.

4. PRINCIPALACCOUNTABILITIES

ACCOUNTABILITIES / HOW ACHIEVED
1. Administration
/
  • Assist in the preparation of financial returns, i.e. wage claims, material claims and participant development grant claims as deemed appropriate.
  • Assist in the installation and provision of all recording, tracking systems as may be required by the Supervisor, the sponsor and or DSP.
  • To keep effective progression records, record keeping systems for all participants
  • Ensure the security of all assets including cash, equipment within SVP Dublin Area.
  • Assist in completing the receipts/payments books.

2. Training & Development /
  • To fully participate in the assistant supervisor Development programme
  • To assist in sourcing and costing effective training development opportunities to meet the needs identified of each participant on the project.
  • Conduct 1 to 1 learner needs meetings
  • Conduct final reviews, quarterly reviews & exit planning with the participants.

3. Human Resources /
  • To provide effective supervisory cover in the absence of the Community employment supervisor.
  • To assist in the planning and coordination the agreed and approved work schedules for participants.
  • Monitor & process attendance records
  • To seek support/advice from HR Shared Services team when presented with employment issues.

4. Data Protection /
  • Ensure the recording, storage and distribution of client information is in accordance with SVP’s data protection policy.

5.Community employment /
  • Ensure that the work areas meet appropriate housekeeping standards and provide a safe and healthy environment for participants in terms of facilities and work practices.
  • Assist the supervisor in scheduling and control of participants to ensure best returns and productivity for the sponsor.

5. Additional /Alternative duties /
  • To undertake other duties appropriate to the post and its function relevant as requested by the Community employment supervisor or by the sponsor from time to time.

6. KNOWLEDGE, EXPERIENCE AND SKILLS TO UNDERTAKE THE ROLE AT A FULLY ACCEPTABLE LEVEL EDUCATION

EDUCATION

  • Job Holder should be educated to Major Award at 3rd Level (NFQ) Level 6 or higher in relevant discipline such as Business, Administration, or Human Resources.

KNOWLEDGE

  • Knowledge of the Society and of its mission and values
  • Knowledge of needs and issues of the poor and disadvantaged
  • Have a reasonable knowledge of Community Employment (CE) schemes
  • Have a reasonable knowledge of community employment assistant supervisor role
EXPERIENCE
  • 2+ years’ experience providing varied administrative support in an office environment required
  • Experience of working in a supervisor role or capacity for at least 1 year essential
  • Experience within the community/voluntary sector desirable

SKILLS

  • Excellent organisation and administrative skills
  • Ability to work on own initiative or as part of a team
  • Excellent communication (written and verbal) and interpersonal skills
  • An ability to work well under pressure, resilient
  • Proficient in IT – MS Word, Excel, PowerPoint, and payroll
  • An ability to display empathy, patience and a well-developed sense of humour
  • Ability to be flexible in approach and towards the role
  • Ability to maintain confidentiality
  • Full clean driving license

7. Main Terms and Conditions

Contract type:Full Time– 1-year fixed term

Hours: 39 excluding lunch breaks

Pension:PRSA in operation

Salary:Point 1 €429.50 pw

Point 2 €467.23 pw

Point 3 €505.03 pw

Point 4 €542.84 pw
